Summary of Position
The Senior Associate Registrar oversees all degree auditing-related tasks - including the DegreeWorks system - and all curricular-related tasks. The incumbent supervises the Associate Registrar and shares in the supervision of the other registrar's office team members. This position requires a strong work ethic, interpersonal, and analytical skills; must be dependable, take initiative, and be improvement-minded; must demonstrate a meticulous attention to detail, a sharp technical aptitude and a commitment to data integrity.

  • Experience in a registrar's office involving progressive responsibility, supervision, training, and duties requiring discretion and independent judgment.
  • Advanced knowledge of both degree auditing processes and platforms such as DegreeWorks, as well as graduation-related tasks such as degree requirements, conferral, commencement, and diploma ordering, processing, and invoicing.
  • Knowledge of curriculum and academic program structures in a university setting as well as catalog maintenance.
  • Capable of adhering to legal requirements and regulations and maintaining confidentiality while providing exceptional service.
  • Ability to work independently and as part of a team in a high-volume, fast-paced environment that experiences frequent change.
  • Self-motivated and committed to continuous improvement; takes responsibility for own work and has a willingness to learn and manage new tasks.
  • Advanced technology skills including proficiency in MS Office applications with an aptitude for learning new software systems.

Duty/Responsibility
A. Degree Conferral & Commencement Related Duties: Oversee and maintain student files from point of petition through degree conferral. Award all post-bac degrees, certifications and non degree certificates (approx. 500 each year) Evaluate student records for completion, ensuring compliance with university, state, and accreditation policies. Respond to student and faculty inquiries related to degree requirements. Process degree audits efficiently and identify deficiencies; interpret and comply with polices in the catalog. -Efficient and timely issuing of diplomas, final transcripts, and documentation for state of NH certification Provide commencement related lists, i.e. students eligible for certification, honors, dept lists, honor societies, etc. Work with several different vendors on ordering commencement regalia, diplomas, hoods, etc. Co-coordinate the commencement ceremony and all events associated with commencement day.


Duty/Responsibility
B. Monitoring Student progress: Monitor cum GPAs for admitted students. Notify students in writing if they are not making satisfactory progress and are on probation. Notify students of dismissal due to low GPA when appropriate. Coordinate with financial aid regarding students not making satisfactory progress and their loan status. Work with students and advisors to determine best course of action for students with low GPAs.

C. Curriculum/Catalog/Policies: Assist in the development and implementation of policies, procedures, new courses, and new programs. Administer curriculum changes for current programs and ensure that students are able to complete their requirements within their catalog year. Vital member of the Policy & Bylaws Committee, Curriculum Committee and Graduate Faculty. Update the academic catalog, ensuring content is accurate and up to date. Update and maintain official programs of study. Provide curriculum updates to the web assistant for online updating. Retain paper and electronic documents for Policy & Bylaws Committee, Curriculum Committee and Graduate Faculty. Submitting documentation and paperwork to the Academic Affairs office on curriculum changes that need SAPC review -Collect and coordinate appointment forms and resumes for graduate adjunct faculty.


Duty/Responsibility
D. Technical Duties: Modify Banner with course changes ( RCAT quick flow). Set up registration and term controls in Banner for web registration. Set up refund codes and refund rules each term. Check and clean student records/Banner data entry. Assist in Banner testing and documentation. Collaborate with IT personnel to utilize Banner and increase efficiency. Provide Banner training and support for all OS staff at CoGS. Prepare documentation, scenarios, and navigation tools for using Banner and myPlymouth. Collaborate on reports, such as student and course query reports, enrollment reports, and completer reports.


Duty/Responsibility
E. Registration and Student Services: Responsible for all administration and operational activities associated with graduate registrations. Train and supervise registration staff; provide ongoing guidance and assistance and conduct monthly. Assist with graduate students registering in undergraduate course and vice versa. Advise students on student requests and facilitate resolution. Ensure compliance of CoGS, VA, Financial Aid, add/drop/withdrawal/refund, and grading policies. Provide leadership, vision and goals for the CoGS registration operation. Work with faculty on grade submission deadlines and assist with any grading questions. Timely respond to student inquiries via LiveChat, e-mail, phone and in person. Oversee compliance with FERPA regulations and dissemination of student information. Assist with enrollment verification issues Provide guidance on residency changes and questions. Provide leadership on the security and storage of academic records, registration. Stay abreast of best practices in higher education administration, procedures and trends. Considerable trouble shooting and problem solving on various registration and student services issues.
