Under the leadership of the Vice Provost for Undergraduate Education, the Office of Undergraduate Education (OUE) challenges students to become accomplished learners who are able to make meaningful connections among work, study, and community. The Office of Undergraduate Education's (OUE) Academic Success & Advising (ASA) unit creates and implements a comprehensive vision around academic success at Georgia Tech. ASA brings together OUE's programs and student services that focus on advising, academic transition, tutoring, pre-graduate/pre-health advising, and first-generation & limited income student resources. ASA also provides leadership for a wide range of targeted initiatives and special projects that impact retention, persistence, and timely degree completion

Note on working time

This position must be available to work standard GT business hours M-F, 8-5 (or 7-4 or 9-6), as well as some evenings as weekends based on student programs and with advanced notice. The first 3-6 months of employment are fully in-person/on site. Following this, some telecommuting will be available in accordance with OUE's guidelines. Job Summary

Oversee administrative and logistical support to assigned degreed and/or non-degreed academic program offerings of an Institute academic unit. Facilitate the various actions required to successfully offer and conduct academic programs. These actions may range from student recruitment and retention to program development. May be responsible for setting employee goals, assessing performance and providing feedback and making pay recommendations. This position will interact on a consistent basis with academic administrators, faculty members, prospective students, enrolled students. This position typically will advise and counsel: prospects, students. This position will supervise: May supervise academic advising and administrative staff members.

Responsibilities

Job Duty 1 -
Coordinate the application process through response to prospect inquires, scheduling interviews, maintaining applicant records, etc.

Job Duty 2 -
Oversee student recruitment/program promotional event preparation.

Job Duty 3 -
Supervise/provide advice for students and prospective students regarding assigned program offerings and academic progress.

Job Duty 4 -
Prepare and disseminate communications materials regarding programs.

Job Duty 5 -
Develop and administer program budget.

Job Duty 6 -
Prepare reports related to program performance.

Job Duty 7 -
Review program processes and procedures, recommend modifications as appropriate.

Job Duty 8 -
May plan and supervise daily staff work activities.

Job Duty 9 -
Perform other duties as assigned.

Required Qualifications

Educational Requirements
Bachelor's Degree in Academic Affairs, Business Management, Education or related field or equivalent combination of education and experience.

Required Experience
Five to six years of job related experience.

Preferred Qualifications

Preferred Knowledge & Skills:

  • Strong advising and interpersonal communication skills.

  • Understanding of health professional school application processes.

  • Familiarity with application portals (AMCAS, AACOMAS, TMDSAS, AADSAS, etc.) and AAMC resources.
  • Effective communication skills in speech, writing, and face-to-face interactions.
  • Comfort with virtual communication platforms.

  • Professional network within pre-health advising.

  • Ability to supervise students to facilitate workplace excellence and professional growth.

  • Time management skills.

  • Respect for the Specialized Advising workplace values of well-being, growth, reliability, community, and teamwork.

  • Familiarity with current resources, processes, policies, requirements, and professional standards of pre-health advising.

  • Understanding of assessment processes and reporting conventions.

Other Information

The Academic Program Manager I for Pre-Health will contribute to Academic Success and Advising, supporting students and alumni who plan to attend health professional school. This position provides highly specialized one-on-one advising, facilitates group learning, and works with professional schools to provide information to Georgia Tech students and alumni. The Pre-Health Advisor reports to the Assistant Director for Pre-Health Advising and works closely with other Specialized Advisors.

Key responsibilities custom to this position

  • Meets individually with undergraduates, graduate students, and alumni (advisees) to provide support and guidance for pre-professional exploration and readiness.
  • Co-leads and manages the Pre-Health Mentor Program
  • Liaises with professional schools and assists with school visits and virtual presentations.
  • Supports management of Memorandum of Understandings (MOUs) with health professional schools.
  • Identifies and develops clinic and hospital partnerships.
  • Reviews written application materials for health professional school.
  • Provides daily drop-in advising for students seeking immediate support.
  • Teaches Pre-Health-specific GT1000 sections (summers and fall).
  • Supports Pre-Health programming and events for cohorts starting in summer term.
  • Monitors and contributes to class management interface (Canvas), Piazza message board, and web site to provide resources for prospective students, advisees, administrators, and off-campus professionals.
  • Contributes to pre-health workshops, orientations, and information sessions, including evening and occasional weekend events.
  • Monitors communication from HLTHPRF and other health professional organizations to ensure timely transmission of information about health professional school application processes.
  • Engages campus professionals in integrated Specialized Advising programs.
  • Gathers and reviews quantitative and qualitative data to assess programs effectiveness and to strategize future programming.
  • Communicates with students, parents, and professionals.
  • Works with pre-health student organizations, peer advisors, and the pre-health advisory board (PHAB).
  • Supports other programs and events as part of the Specialized Advising team.

Job Grade: A8

Salary Range: $55,029 - $74,841. Salary will be commensurate with experience and education.

Location: Atlanta, GA

Working Arrangement: Hybrid
