What Acara has to offer:

  • Monday - Friday, 8:30 am to 5:00 pm; Full-time hours with the possibility of a flexible 32-hour workweek (e.g., Fridays off).

Job Summary:

We are seeking a detail-oriented and organized Temporary Training Coordinator/Scheduler to manage the scheduling and coordination of technical trainers. This role involves coordinating in-person and remote training sessions for clients, tracking trainer assignments, assisting with payroll, and handling administrative tasks within key systems.

Essential Duties and Responsibilities:

Training Coordination:

  • Schedule trainers for client training (remote or face-to-face) based on their location and availability.
  • Ensure trainers are contacted, schedules confirmed, and orders closed out in the system.
  • Assign and order new training sessions as required.
  • Verify training orders include the appropriate budget and details.

System & Administrative Work:

  • Manage and close out orders in system.
  • Use timekeeping system to input invoices, create timesheets, and add trainer orders.
  • Track and update reseller orders by creating purchase orders (POs) and logging them.
  • Follow up to ensure tasks are completed and tickets are closed properly.

Payroll Support:

  • Collect, verify, and submit trainer hours for payroll.
  • Address any challenges or discrepancies in submitted timesheets.

General Administrative Tasks:

  • Use Excel for basic tasks, such as exporting and filing orders.
  • Maintain accurate records and assist with general administrative duties as needed.
  • Ensure all trainers have valid car insurance, licenses, and driving records checked before in-person assignments.
Job Requirements
Required Skills / Qualifications:
  • Administrative experience, ideally with scheduling and payroll support.
  • Proficiency in Microsoft Outlook and Excel (basic functions like exporting data).
  • Ability to manage multiple tasks simultaneously with a strong attention to detail.
  • Strong communication and organizational skills.
Preferred Skills / Qualifications:
  • Ability to learn new systems quickly.
Physical Demands, Work Environment, and Travel:
  • This role operates in a modern, hybrid work environment, utilizing technology such as laptops, video conferencing tools, cloud-based applications, and collaborative platforms. Flexibility for remote work is supported, while in-office settings may still involve the use of standard office equipment like computers, telephones, and printers.
  • The physical demands described here are representative of those required for an employee to successfully perform the essential functions of this job. While carrying out job duties, the employee must regularly be able to speak clearly and hear effectively to communicate with others. The role also frequently requires standing, walking, using hands for fine motor tasks, and reaching with arms.
  • Occasional domestic travel may be required to represent the company, based on business needs.
