The Opportunity:

The Program Coordinator is responsible for managing and implementing various business operations, including revenue generating contracts, facility management, fiscal responsibilities, and administrative tasks for the College of Medicine. This includes support of property management and/or facility responsibilities related to medical education, clerkships, student housing, research, and clinical support.

Responsibilities:


  • Provides support functions as it relates to medical and academic support operations for student housing, classrooms, clinical skills, anatomical facilities, research, clinical and health locations.
  • Oversees coordination of facility issues, apartment work orders, and student rotations.
  • Travels to all College of Medicine off-site and out-of-town locations monthly to maintain compliance of contracts and occasionally to address student concerns after hours.
  • Plans and oversees work performed by contractual and facility personnel/agencies for the College of Medicine.
  • Assists with maintaining and initiating business service contracts and warranty issues on installed items.
  • Coordinates the development, implementation, and interpretation of operating procedures. Assist outside food vendor for cafe operations at COM sites.
  • Oversees the installation of furniture, fixtures, and other COM-related equipment.
  • Operates programs and services efficiently by assuring compliance to code requirements and ergonomic measures.
  • Tracks deliveries, supervises installations and set-up.
  • Organizes layout and schematic drawings.
  • Monitors furnishings and resolves issues at student clerkship apartments.
  • Provides assistance when needed to maintain critical university functions and perform duties even during an interruption in normal operations.
  • May be designated as Department Critical Personnel in the event of an emergency or disaster.
  • Prepares purchase orders & assures inventory quantities are sufficient for needs.
  • Coordinates with multiple suppliers to monitor orders, changes, or cancellations.
  • Contacts suppliers to schedule or expedite deliveries and to resolve shortages, missed or late deliveries.
  • Tracks and reviews the accuracy of specifications, invoices, and payments including monthly apartment charges.
  • Assist with revenue-generating tracking, processing, and preparation of financial reports as it pertains to facility usage agreements, cafe operations, and other revenue-generating events.
  • Attend pertinent event-related meetings and assist legal to prepare documents.
  • Create quotes, obtain approvals, request insurance information, and coordinate additional labor, supplies and setup.
  • Assist with capital and space planning.
  • Maintains database of all floor plans.
  • Assist with administrative duties that may include support of reception area.
  • Assists with the preparation of budgets and allocation of operating funds.
  • Determines and forecasts funding requirements and provides justifications for budget requests.
  • Collects and analyzes data as appropriate.
  • Prepares reports.
  • Safeguards and organizes essential records and record-keeping systems.
  • May serve as liaison between the department and other agencies/departments.
  • Arrange, coordinate, and schedule individual or group meetings as it relates to job functions.
  • Provide support for student clerkship rotations.
  • Prepare and distribute key packets for different housing locations.
  • Coordinate with various departments for lease renewals or changes in the quantity of apartments needed.
  • Perform other duties as assigned to include but not limited to university and college training.
  • May on occasion be asked to assist with last-minute requests for assistance with other duties within the department.

Minimum Qualifications:

Bachelor's or Master's degree and 2+ years of relevant experience or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information

Preferred Qualifications:


  • Experience in Property Management/Property Operations.
  • Previous management experience.
  • Experienced in utilizing Adobe Creative Suite, Microsoft Office Suite, and CRM Software.

The most successful candidates may possess the following qualities:


  • Detail-Oriented and Proactive.
  • Strong Typing Proficiency.
  • Willingness to travel to other sites.

Special Instructions to the Applicants:

Position requires a valid Class E driver's license. This position may involve driving to various locations on and off campus to conduct University business.

This is an Auxiliary (soft money) funded position. Employment is subject to availability of funding and may cease at the time funding for this employment is depleted.
