Job Summary:

The Purchasing/Investment/Insurance Coordinator manages all aspects of the purchasing program, supports management in collection and tracking of contracts, enters and maintains investments, and works with company insurance providers, coordinating all issues with claims including personal injury and workers compensation.

Responsibilities:

  • Purchases supplies and procures software and hardware for all entities of SBI based on management and vendor recommendations. Ensure delivery to locations and correct accounting for purchases.
  • Coordinates computer equipment hardware malfunctions by getting replacement parts and/or repairs done ASAP.
  • Maintains contracts with vendors for preferred pricing in all aspects of purchasing; conducts contract maintenance.
  • Notifies and collects "Requests for Proposals" from numerous vendors when contracts are expiring. Report findings to management in concise format and obtain management approval for purchases and contracts.
  • Sources and maintains copies of all contracts that any employee of SBI or its entities enters into on behalf of the company and save them in secure location for management.
  • Print and review invoices for accuracy, attach documentary approvals and code for Accounts Payables.
  • Completes the Daily ACH Vendor Review, checks mail daily for invoices, and updates monthly drafts for Accounts Payable
  • Review all purchasing invoices for accuracy, attach documentary approvals and code for Accounts Payables.
  • Track usage of supplies by branches and entities for planning and budgeting purposes and management reports.
  • Maintains security investment files including pledging, safekeeping, and reconciliations.
  • Administers company insurance policies including handling claims for property, liability and worker compensation issues, obtaining proof of insurance for all vendors, and tracking any BOLI policies as needed.
  • Provide reports as requested by management in any aspect of the business. (legal bill report, teller force balance report)
  • Complete all required or assigned training.
  • Perform other tasks as required by supervisor as they pertain to Southern and its mission.

Qualifications

Education, Experience, and Skill Requirements:

  • High School diploma or equivalent is required along with four years of bank operations experience; or an equivalent combination of education and/or work experience
  • Must be proficient in Microsoft Excel and 10 Key calculator
  • Aptitude for problem solving
  • Good written and oral communication skills
  • Strong computer skills including experience with Microsoft Office products
  • Excellent reasoning skills
  • Ability to work independently with minimal supervision
  • Must be able to operate a motor vehicle and maintain a valid driver's license and automobile insurance
  • Regularly required to sit, to talk, and to hear. Must occasionally stand and walk; reach with hands and arms; stoop, kneel, or crouch. May be required to lift or move up to 10 pounds occasionally.
