Inventory Specialist

The Advanced Light Source (ALS) Division at Lawrence Berkeley National Laboratory (LBNL) is seeking an Inventory Specialist to support critical logistics, inventory compliance, and project activities for the ALS-U Project - a once-in-a-generation upgrade to one of the world's premier synchrotron light sources.

In this pivotal role, you will implement inventory strategies, manage tracking software, support project activities, and oversee warehouse operations within a dynamic research environment. You'll work closely with technical teams and project staff, helping ensure seamless integration of materials and logistics functions to enable groundbreaking scientific progress.

This position reports to the Logistics Manager and offers the opportunity to work at the forefront of science, logistics coordination, and systems integration.

What You Will Do:

EZ Office Inventory Implementation & Management



  • Coordinate and oversee ALS-U's use of EZ Office Inventory software.
  • Implement standardized inventory management plans across technical subsystems.
  • Conduct audits to assess tracking accuracy and compliance; prepare detailed reports.
  • Provide technical support and troubleshooting for inventory software users.


Subsystem Support & Training



  • Develop, maintain, and lead training sessions for inventory software users.
  • Create user guides, best practices, and onboarding materials to strengthen subsystem compliance.
  • Assist subsystems with inventory data entry, barcode tagging, and tracking.


Kitting & Handoff Management



  • Manage kitting operations, ensuring accurate grouping, labeling, and preparation of materials for project milestones.
  • Oversee the creation and documentation of handoff packages for transitioning materials.


Project Activities & Requisition Processing



  • Enter and manage requisitions in internal project and financial management systems.
  • Process purchases through eBuy and ensure compliance with procurement policies.
  • Create and track Web Job Orders (WJOs) for technical and material-related work.
  • Partner closely with technical teams and vendors to:


    • Obtain supplier quotes
    • Track delivery statuses
    • Coordinate purchase order modifications
    • Manage shipping logistics, including customs clearance for international shipments



Database Management & System Integration



  • Develop and execute database queries to extract and consolidate data across multiple systems (Windchill PLM, Jira, EZ Office Inventory, and WJO).
  • Support data synchronization across inventory, procurement, and scheduling databases.
  • Collaborate with developers and engineers to improve system interoperability and automate reporting processes.


Warehouse Supply & Inventory Management



  • Manage warehouse inventory by entering, tagging, and tracking new stock using inventory software.
  • Maintain accurate records of stock movements and levels.
  • Coordinate storage logistics for optimal space utilization and accessibility.



What is Required:



  • Bachelor's degree in logistics, supply chain management, business administration, information systems, or related field; or equivalent experience.
  • At least 3 years of experience in inventory management, logistics coordination, or project material tracking.
  • Proficiency with inventory management software (EZ Office Inventory or similar) or MRP systems.
  • Experience managing database information across diverse systems.
  • Strong data management, auditing, and compliance reporting skills.
  • Working knowledge of requisition processes, vendor coordination, and procurement practices.
  • Basic coding skills (SQL, Python, VBA, or similar) for querying and integrating data.
  • Proficiency with barcode tagging, stock tracking, and warehouse management.
  • Strong organizational and communication skills; able to work cross-functionally with technical teams and vendors.



Desired Qualifications:



  • Experience working within the U.S. Department of Energy (DOE) national laboratory or similar scientific research facility.
  • Experience using MRP systems, inventory tracking databases, or project management tools.
  • Familiarity with DOE Order 413.3B and scientific material handling protocols.
  • Knowledge of ALS-U logistics and supply chain operations.
  • Advanced proficiency in database queries, report automation, and data integration.


Notes:



  • This is a full time 2-year, term appointment with the possibility of extension or conversion to Career appointment based upon satisfactory job performance, continuing availability of funds and ongoing operational needs.
  • This position is expected to pay $86,364.00-$107,928.00, which fits within the full salary range of $86,364.00-$145,704.00 for the Z30.2 job code. Salary for this position will be commensurate with the final candidate's qualification and experience, including skills, knowledge, relevant education, certifications, and aligned with the internal peer group.
