RAPP Chicago is looking for a Project Coordinator to join our award-winning Program Management team.

YOUR ROLE:

The project coordinator (PC) helps assist in managing the internal workflow for CRM and email/direct mail/digital development projects, collaborates with creative and technical teams, interacts with business managers and is responsible for producing projects on time and on budget. The PC will look to the project manager and program management leads for guidance.

The project coordinator is comfortable working in a fast-paced environment and handling a large volume of assignments, and is a true team player. You'll have strong communication and organizational skills and be able to hit the ground running.

YOUR RESPONSIBILITIES:



  • Support the project manager (PM) on small to medium-sized projects and support senior project management team players on large projects
  • Supporting the PM with the cross-channel creative process from initial brief response, strategy development, creative, design, UX.
  • Develop and maintain clear and concise project documentation using tools such as Sharepoint, Teams and Confluence.
  • Ability to manage several parallel projects for the same client ensuring creative, strategy and measurement are all aligned to deliver ROI from a program perspective.
  • Maintaining program level status reporting and individual campaign status
  • Facilitating workshops and team meetings as required, creating agendas and documenting and distributing notes to the team
  • Maintaining, monitoring and controlling all changes within the project and escalating as needed.
  • Documenting in and around the management of the project and ownership of project risks and issues including escalation, mitigation plans & corrective plans.
  • Conducting campaign evaluations including lessons learned/retrospectives and preparation of any follow-on action recommendations as required.
  • Tracking the deadlines of each deliverable ensuring that the milestones are being met
  • Managing Workfront allocations on projects
  • Support in documenting any blockers or dependencies we may have and raising them to you or any other PM on the team who can help
  • Maintaining documents for each project (creating tickets, tracking tickets, etc)
  • Running our status call and assuring everything discussed is being worked on and executed by the team
  • Keeping confluence pages up to date and all information in documentation is understood thoroughly
  • Provide basic support as it relates to ad hoc requests and serving as the liaison between each team and or stepping in and delivering anything or answering any questions the team may have

EDUCATION & OTHER SKILLS:



  • Bachelor's degree
  • Proficient in MS Project and the entire MS Office Suite

This range is specific to Chicago and multiple factors are considered in making compensation decisions including, but not limited to: skill set, experience and training, certifications; etc. This is an exempt position.
