I. JOB OVERVIEW


Job Description Summary:

The Women's, Gender, and Sexuality Studies ( WGSS) Program in the College of Arts and Sciences ( CCAS) is seeking an Academic Department Administrator II. The position will require a full-time in-office presence during regular business hours, 9:00 am - 5:00 pm, to facilitate student and interdisciplinary faculty program experiences.

This Academic Department Administrator II position provides enhanced administrative support to an academic department.. This role is a key contributor to delivering high-quality customer service to meet the academic needs of the faculty and students. This position reports to the Faculty Department Chair. This position may supervise an office assistant and/or temporary staff and student workers.

The core responsibilities of this position are to manage the daily operation of an academic department within a school or college, primarily in the areas of human resources, compliance and financial management, to represent the department on business affairs and/or faculty affairs to the institution community, to develop and prepare budgets and financial reports for grants, general appropriations, endowments, and other funds, and to coordinate and participate in a variety of human resources activities such as coordinating and initiating recruitment efforts. Additional responsibilities include providing input into non-technical portions of grant and contract proposals and assisting with research recruitment efforts, managing the hiring process for all faculty (full-time, adjunct and visiting scholars), temporary staff and students, including onboarding to the department, supporting and addressing faculty classroom needs, including the acquisition of textbooks and compiling course materials, and liaising with and assisting Faculty with academic and administrative matters such as administrative aspects of course and curricula preparation. This role exercises authority to make decisions related to academic support and serves as the administrative subject matter expert for the department. This position participates in monthly school-wide meetings for administrative managers and may hire/supervise a small staff of non-exempt employees and/or students.

Duties and Responsibilities:

  • Supports new and cross-disciplinary program initiatives, and manages all logistical aspects of the WGSS Program, including evaluations, space, food and beverages, print and digital program materials, assistance with graduate student recruitment, speaker travel, retreats, and meeting organizing, among other tasks.
  • Develops and monitors budgets and prepares and process all financial related matters, including purchase orders, supplemental compensation, invoices, honorarium, stipends, volunteer appreciation recognition, and expense reimbursements. Maintains department P-card and uploads receipts of expenses submitted by director and program faculty when requested. Ensures budget compliance with institutional policies and procedures.
  • Supports the administrative operations of the department, including: creating weekly digest; maintaining and updating list-servs for accuracy and inclusion every semester; creating an alumni newsletter every semester; developing and maintaining databases; scheduling, supporting/attending, producing agendas and minutes; preparing correspondence designed to effective action or publicize department activities; and compiling/distributing various assessments
  • Regularly updates departmental web platform every month or as requested.
  • Exercises authority to make decisions related to academic support, serves as the administrative subject matter expert for the department, and maintains all current files/information on faculty affairs and student affairs.
  • Performs other duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logistically related to the position.

Minimum Qualifications:

Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

Preferred Qualifications:

  • Experience providing administrative support within a university academic setting, particularly in interdisciplinary or liberal arts programs, with a proven ability to coordinate events, manage program logistics, and support faculty and student needs.
  • Proficiency in handling departmental budgets, processing financial transactions (e.g., honoraria, reimbursements, stipends), and ensuring compliance with university policies using platforms such as Concur, Oracle, or similar systems.
  • Strong written and verbal communication skills, including experience drafting newsletters, managing listservs, and updating academic websites, with the ability to use tools like WordPress, Mailchimp, and institutional communication platforms.

Hiring Range $51,455.52 - $70,708.76
