The Title & Records Specialist II position will be responsible for the accurate and efficient processing of vehicle titles by verifying title information is correct, accurately reassigning and releasing titles to clients, and interacting with clients and regulatory agencies to resolve title issues. Additional responsibilities will include knowledge of departmental policies and procedures for title release and follow-up on titles.

  • Process and reassign titles for vehicles sold by the auction.
  • Examine vehicle title for accuracy and conformity to specified requirements. Verify acceptance of the title in the state for which it is filed. Confirm accurate title VIN number, odometer reading, release of liens, and that titles contain no alteration, etc.
  • Determine the negotiability of title documents and assess for potential fraud. Report any title discrepancies.
  • Resolve titling issues through interaction with customers, dealers, and regulatory agencies. Work with the manager/supervisor to negotiate a price adjustment between the buyer and seller for a title issue, if necessary.
  • Maintain knowledge of current DMV laws and regulations as they relate to vehicle titles and interpret titling regulations in each state for which vehicles are processed.
  • Provide quality, efficient customer service through face-to-face, e-mail, and phone support. Answer questions and provide support.
  • Perform basic data entry into the AS400 computer system as well as the Windows-based Customer Service Application and Title Management System.
  • Contact clients weekly for updates on outstanding vehicle titles and enter notes in the corresponding records in the Title Management System.
  • Run, sort, and audit miscellaneous reports for title inventory and payment information and complete any necessary steps to address incorrect records.
  • Assist with title audits.
  • May travel within the front office market center (Manheim Orlando and Central FL) with managers to help assist when needed.
  • Will be responsible for taking client phone calls with front office issues.
  • Visibly demonstrate safety commitment by following all safety and health procedures and modeling the behaviors related to such. Actively participate in support of all safety activities aligned with Safety Excellence.
  • Perform other duties as assigned by management.
  • May be required to work overtime (more than 40 hours per week) as business needs dictate.


Qualifications:

Minimum:

  • High School Diploma/GED and 3 years' experience in a related field.
  • OR the right candidate could also have a different combination, such as any level degree/certification beyond a HS diploma/GED in a related discipline and up to 1 year of experience; OR 5 years' experience in a related field.
  • Notary Public (must obtain notary within first 60 days of employment if not currently a notary)
  • Must be positive, personable, self-motivated, and have strong interpersonal and customer service skills.
  • Must be a team player but also able to work independently.
  • Effective communication skills required.
  • Must possess good problem-solving and organizational skills and be able to thrive in a fast-paced, high-energy environment.
  • Basic computer software skills required.

USD 17.74 - 26.59 per hour

Compensation:

Hourly base pay rate is $17.74 - $26.59/hour. The hourly base rate may vary within the anticipated range based on factors such as the ultimate location of the position and the selected candidate's knowledge, skills, and abilities. Position may be eligible for additional compensation that may include commission (annual, monthly, etc.) and/or an incentive program.

Benefits:

Employees are eligible to receive a minimum of sixteen hours of paid time off every month and seven paid holidays throughout the calendar year. Employees are also eligible for additional paid time off in the form of bereavement leave, time off to vote, jury duty leave, volunteer time off, military leave, and parental leave.
