Johns Hopkins Applied Physics Lab is seeking an Administrative Assistant to join our Communications Department. JHU APL's Communications Department is responsible to increase and improve access to communications as well as sharing the Laboratory's impact internally and externally to APL. The communications department are approximately one hundred ninety staff who are responsible for visual and communications products that range from classified technical papers to the design of conceptual displays and beyond. It's a vibrant team of creatives who must be agile and responsive to the many needs of the Lab.

As an Administrative Assistant...

  • Your primary responsibility will be providing administrative and operations support to our team of communications professionals.
  • You will manage calendars, schedule meetings, book conference rooms and ensure conference are ready for hybrid meetings.
  • You will process purchase requests and reconcile purchases on time.
  • Arrange travel for team members and process reimbursements.
  • You will organize and manage group shared folders and files.
  • You will respond to employee inquiries about the Communications office and programs supported by it.
  • You will be responsible for coordinating surplus and keeping the up-to-date property records for the Communications Department
  • You will organize, coordinate and/or support significant APL events, ceremonies, and visits.
  • You will partner and collaborate with the administrative team to support assigned tasks and initiatives.
  • Maintain group supplies and special ordering as requested by staff. Manage group credit card purchases.

Qualifications

You meet our minimum qualifications for the job if you...

  • Have a High School diploma.
  • Have a minimum of 5 years providing administrative support in a professional setting, or a Bachelor's degree and experience in an office environment or administrative support.
  • Are skilled in the use of desktop computer applications, including Microsoft Office applications like Outlook, Word, PowerPoint and Excel.
  • Have a demonstrated record of taking initiative and willingness to project a positive work attitude.
  • Possess the ability to develop and assess alternative approaches and to solve routine problems in a different, more efficient way.
  • Have the capacity to organize and reprioritizework assignments to meet evolving needs.
  • Have excellent interpersonal and organizational skills.
  • Have demonstrated communication skills (written and verbal) and excellent proofreading skills.
  • Are able to obtain Secret level security clearance. If selected, you will be subject to a government security clearance investigation and must meet the requirements for access to classified information. Eligibility requirements include U.S. citizenship.

The referenced pay range is based on JHU APL's good faith belief at the time of posting. Actual compensation may vary based on factors such as geographic location, work experience, market conditions, education/training and skill level with consideration for internal parity. For salaried employees scheduled to work less than 40 hours per week, annual salary will be prorated based on the number of hours worked. APL may offer bonuses or other forms of compensation per internal policy and/or contractual designation. Additional compensation may be provided in the form of a sign-on bonus, relocation benefits, locality allowance or discretionary payments for exceptional performance. APL provides eligible staff with a comprehensive benefits package including retirement plans, paid time off, medical, dental, vision, life insurance, short-term disability, long-term disability, flexible spending accounts, education assistance, and training and development.
