Primary Purpose of Position
The Department of Population Health Management & Policy, within the Hairston College of Health and Human Sciences at North Carolina Agricultural and Technical State University, is seeking an Administrative Support Specialist to support the department. The primary purpose of this position is to provide specialized administrative support to the department chair, program coordinators, faculty, students, and university partners. In this role, the individual coordinates day-to-day administrative activities for departmental programs and initiatives, assists with interpreting and communicating policies and procedures, maintains organized departmental records and data systems, supports procurement, responds to inquiries from students, parents, and other stakeholders, assists with course registration, coordinates meetings for the department, assists with budget management and coordinates department events. The position focuses on facilitating efficient workflows, fostering collaboration among stakeholders, and helping achieve strategic departmental objectives through proactive engagement in all administrative tasks.

The John R. and Kathy R. Hairston College of Health and Human Sciences ( HCHHS) comprises six departments and the School of Nursing. The HCHHS offers the following undergraduate degree programs; Communication Sciences and Disorders, Health Services Management, Kinesiology, Nursing, Psychology, Social Work, and Sociology. At the graduate level, HCHHS offers four graduate degree programs including the Masters in Physician Assistant Studies (PA program), Master of Social Work ( MSW), Master of Science in Health Psychology and Ph.D in Social Work, PhD in Applied Psychology, and Doctor of Nurse Practice ( DNP). The HCHHS is also home to the Center of Excellence in Integrative Health Disparities and Equity Research ( CIHDER), a hub for multidisciplinary research and community engagement efforts to alleviate health inequities. The HCHHS capitalizes on the synergistic relationships between these departments to develop advanced academic programming, enhance the mentoring of trainees, and conduct collaborative multidisciplinary research and scholastic activity.

Work Hours Monday - Friday 8:00 am - 5:00 pm

Key Responsibilities and Related Competencies


Required Competency Communication - Verbal/Written
Duties
Interprets and articulates program guidelines, policy updates, and procedural changes to diverse audiences (students, faculty, vendors, community partners). Facilitates meetings, delivers informal training to student office workers and others, and mediates stakeholder expectations to maintain positive, productive relationships.

Prepares agendas, meeting minutes, and supporting documents for faculty monthly meetings, ad hoc meetings, and student town halls or informational meetings. Tracks action items and encourages accountability to foster continuous improvement and efficient communication.

Assists in writing and editing a variety of documents, such as reports, University/College/Department policy summaries, and effectively communicates the same to all departmental stakeholders, ensuring clarity, accuracy, professional tone, and adherence to university style and timelines.
In consultation with the chair, responds to inquiries from stakeholders including prospective students, vendors, and supporters on the department.


Required Competency Information/Records Administration
Duties
Provides oversightfor data and records management across multiple systems (e.g., Banner, SharePoint, Excel). Performs advanced data collection from different sources, reconciliation, and analysis to generate reports on enrollment trends, budget expenditures, and accreditation metrics. Ensures accuracy, integrity, and accessibility of both electronic and paper records

Coordinates the compilation, analysis, and synthesis of information to prepare detailed reports and presentations for both internal and external stakeholders. Ensures accuracy, quality, and timeliness in all documentation, leveraging advanced data management and analytical skills.
Prepares agendas, minutes, and relevant documents for regular faculty meetings and student town hall meetings. Tracks action items, ensuring follow-up and accountability to support continuous departmental improvement.

Serves as the goto expert on departmental programs, policies, and procedures (e.g., course registration, budget protocols, event planning). Interprets and applies exceptions to standard guidelines, advises faculty, and ensures alignment of administrative processes with strategic objectives

Duties
Anticipates, identifies, and resolves administrative challenges-such as conflicting scheduling demands, procurement exceptions, or anomalous budget variances. Develops and implements solutions, with guidance from Department chair or program directors, coordinates cross-functional collaboration, and mentors colleagues in bestpractice approaches.
