The Safety Systems Records Coordinator is responsible for maintaining accurate safety documentation and supporting the implementation of safety programs across multiple facilities. This position plays a critical role in tracking training compliance, managing safety data, coordinating safety initiatives, and assisting with inspections and incident investigations. The role requires a high level of attention to detail, proficiency with computer systems, and the ability to support multiple departments in maintaining regulatory and internal safety standards. Responsibilities: Records and Program Administration
* Maintain and organize safety records in compliance with HSP-001-R1, including training documentation, inspection records, and contractor files.
* Enter and track closure of Toolbox Talks, Job Safety Analyses (JSAs), PPE assessments, SEG compliance documentation, Audit findings, and Finding and Action Items
* Manage databases related to new hires, terminations, and FMLA status for safety-related tracking.
* Administer and track various safety programs, including AIM, prescription safety glasses, health club memberships, and annual safety boot programs.
* Coordinate training compliance for Tyler Pipe, Texas, Tyler Pipe, South Plainfield, Los Angeles Service Center, Reno Distribution Center, and Henderson Transload Yard. Training, Compliance, and Reporting
* Monitor and report compliance with OSHA and corporate training requirements, including Toolbox Talks (TBTs), computer-based training (CBTs), safety meetings, and contractor orientation.
* Manage contractor safety compliance through ISNetworld or internal systems, ensuring that required documentation, such as safety programs, insurance, and acknowledgments, is up to date.
* Support HSP reviews and ensure that safety policies, work instructions, and procedures are kept up to date.
* Generate and distribute weekly and monthly safety reports, training schedules, and compliance summaries to management. Inspections, Audits, and Incident Support
* Conduct weekly safety inspections in your assigned area and document the findings. Email summaries to the Safety Manager.
* Participate in quarterly safety inspections, track corrective actions, and support resolution of audit findings.
* Coordinate third-party inspection and maintenance of below-the-hook lifting devices (BTHLD), cranes, hoists, and other safety equipment. Incident Investigation and Emergency Preparedness
* Assist in Level I and Level II incident investigations, ensuring proper documentation and implementation of corrective actions. Administrative and Committee Support
* Facilitate purchasing requisitions for PPE and other safety-related supplies.
* Collect and distribute mail from the main office daily. Other Duties
* Support annual reviews of training records and SEG compliance.
* Perform other safety-related duties as assigned by the Safety Manager. Qualifications
* High school diploma or equivalent required; minimum two years of clerical or safety/medical administrative experience.
* Proficient in Microsoft Word, Excel, and Outlook; strong computer skills are essential.
* Able to work across all shifts and perform overtime as needed.
* High attention to detail, especially when reviewing safety and regulatory documentation.
* Ability to maintain confidentiality and manage sensitive information appropriately.
* Self-motivated with the ability to manage multiple tasks and work independently.
* Willingness to work in foundry and support facilities environments.
* Strong commitment to safety protocols, teamwork, and consistent attendance.
* Must be able to wear PPE and follow all safety procedures without exception. Additional Information
