Our dedicated team advises students, administers programs, and provides comprehensive support for study abroad. We're committed to developing culturally competent students prepared to engage in today's global society.
NC State Study Abroad is seeking an experienced professional to manage all front office operations and provide administrative support critical to the success of study abroad programs. Reporting to the Assistant Director of Advising, this position offers a unique opportunity to work closely with stakeholders across the university and in collaboration with all areas of the Study Abroad Office.
Essential Job Duties
The Study Abroad Office is seeking a Program Associate to manage front office operations and serve as a key point of contact for students exploring international opportunities. This role blends student service, program coordination, and administrative management in a dynamic and rewarding setting.
What You'll Do:

Front Office and Student Support

  • Serve as the first point of contact for students, families, and campus partners.
  • Provide timely, accurate information on study abroad programs, policies, and procedures.
  • For questions you can't answer, proactively seek out the necessary information from colleagues in our office or from our campus partner offices.Manage the general office email account and maintain confidentiality of student records.
  • Foster an inclusive, welcoming environment for all students and promote global learning opportunities.



Course Scheduling and Records Coordination

  • Manage course scheduling and enrollment processes for study abroad programs.
  • Compile, verify, and submit data to create courses each term in accordance with university procedures.
  • Process course approvals and international transcripts in collaboration with academic units and Registration and Records.


Program Operations

  • Facilitate the application review process for non-group programs.
  • Support group program departures by preparing travel materials and tracking post-acceptance requirements.
  • Coordinate program evaluations and route them to appropriate academic units.

Student Staff Supervision

  • Hire, train, supervise, and evaluate front desk student staff.
  • Oversee daily operations and ensure quality service is provided to all visitors.


As a key member of the Study Abroad Advising team, you'll participate in weekly Advising Team meetings. You'll also help students navigate high-impact international experiences. Your work will directly support students' academic and personal growth, contributing to a more globally engaged campus community.

Qualifications


Minimum Experience/Education
Bachelor's degree; or an equivalent combination of training and experience.

All degrees must be received from appropriately accredited institutions.

  • Strong written and verbal communication skills; able to convey information clearly and accurately.
  • Strong organizational skills with the ability to track tasks through to completion.
  • Able to follow established procedures and contribute to improving front office processes through clear, constructive feedback.
  • Ability to learn, retain, and apply complex information related to programs and policies.
  • Effective time management skills; able to prioritize tasks, meet deadlines, and manage multiple responsibilities.
  • High attention to detail and accuracy in data entry and recordkeeping.
  • Sound judgment and problem-solving abilities in a fast-paced environment.
  • Ability to work well both independently and as part of a collaborative team.
  • Commitment to fostering a welcoming environment for all students, families, staff, and faculty.
  • Proficiency in Microsoft Excel, Google Workspace, or similar software tools.

Preferred Qualifications

  • Experience working in a college or university setting.
  • Interest in or exposure to international education.
  • Experience navigating international settings, including studying, living, or working in other countries.
  • Familiarity with student information systems (e.g., PeopleSoft) and Terra Dotta is a plus.
  • Strong customer service skills and a positive, solutions-oriented approach.
  • Proven ability to work effectively in a team setting and manage responsibilities independently.
  • Professional demeanor with the ability to engage empathetically and helpfully with students and faculty.
