Accounts Payable Specialist

Vaco is hiring an onsite 4 days a week, Accounts Payable Specialist, for one of our top clients in the Tempe area. As an Accounts Payable Specialist, you will be managing the full accounts payable cycle from invoice receipt to payment processing. This is a contract-to-hire position, paying up to $27 per hour.
Key Responsibilities:
  • Oversee invoice intake through Exflow and provide support for finance-related email and mail correspondence.
  • Process and route invoices, checks, and related documents to appropriate Accounts Payable teams efficiently.
  • Accurately track, record, and manage financial account data in a timely manner.
  • Serve as a liaison between vendors and internal teams, addressing invoice and payment inquiries within 24 hours.
  • Facilitate invoice processing by collecting approvals, reconciling reimbursements, and utilizing the Exflow/Data Capture system.
  • Resolve vendor inquiries related to past-due invoices by cross-referencing internal accounting systems.
  • Prepare and process franchisee cost of goods sold (COGS) and quarterly reports in advance of deadlines.
  • Ensure all invoices received via finance email are uploaded to Exflow Data Capture and follow up on outstanding approvals.
  • Collect and verify required vendor documentation (W9s, ACH forms, contracts) and enter data into Microsoft D365.
  • Serve as the primary point of contact for vendor setup, bank verification, and updates to the vendor guide.
  • Create new vendor profiles in Microsoft D365 and perform TIN (Tax Identification Number) verifications.
  • Reconcile daily check outsourcing reports from Chase Bank for all corporate entities.
  • Provide support to the AP team with invoice allocations, account troubleshooting, and special finance projects.
  • Train new AP team members on Exflow processes and best practices.
  • Manage offsite document storage and ensure timely processing of signed materials via DocuSign.
  • Oversee the onboarding of employees to the company credit card program, including issuing cards, resolving lost/stolen issues, and closing accounts.
  • Act as a key resource for employees and AP staff regarding credit card usage, reconciliation, and fraud-related issues.
Qualifications:
  • 2+ years of bookkeeping or AP experience

  • the individual's skill sets, experience and training;
