Job Responsibilities

Summary:

Performs advanced administrative and project related functions to support Company Executive(s).

Essential Functions:

  • Drafts confidential reports, memoranda, correspondence and agendas; uses own initiative to answer routine inquiries. Prepares materials in final form from very rough or involved drafts, which may utilize frequent use of technical terminology and statistical data, including charts and graphs as necessary. May combine material from several sources as necessary. Maintains updated departmental organizational charts.

  • Work with C-suite executive team and admins

  • Support both ELT member and direct reports with time and expense reporting

  • Specifically for the ELT member, support travel planning

  • Manage calendar/meetings and proactively prioritize and work with meeting requesters to ensure they are prepared/focused agendas

  • For physical meetings in Morrisville, help coordinate /support participants during the event, meeting room setup, security/badge access, catering

  • For meetings outside of Morrisville, coordinate with local support/facilities to ensure meeting rooms are reserved and setup

  • Help with approvals, expenses, invoices, purchase orders

  • Positive attitude, professional, collaborative, and strong communicator

  • Updates spreadsheets and databases and maintains department files, including those of a confidential nature.

  • Prepares and produces materials and presentations for executive meetings.

  • Possesses strong professional acumen when interacting with customers and employees via phone or in person. Schedules outgoing business phone calls, conference calls and WebEx meetings globally.

  • Maintains Executive(s) schedule and calendar. Schedules business meetings both inside and outside of the office via an electronic calendar.

  • Manages travel arrangements including preparing detailed itineraries for each trip.

  • Reviews, prioritizes and responds to incoming mail, voicemail, email, and confidential documents. Determines if executive action is required.

  • Communicates with Executive staff and all levels of personnel inside and outside the company to gather and convey information pertaining to executive's office and responsibilities. Reviews and prioritizes activities, takes action and escalates critical matters. Refers routine matters to appropriate parties for action and follows up to ensure proper disposition.

  • Assists in training and providing assistance to other staff members. May provide backup to other support staff including reception.

Other Responsibilities:

Performs other work-related duties as assigned. Minimal travel may be required (up to 25%).

Requirements:

High school education plus significant experience providing C-suite (e.g., CEO, COO, CFO, GC) administrative support, or equivalent combination of experience and education. Some college courses preferred. Familiarity with pharmaceutical business, medical terminology, and financial/business terminology and ability to create, review and edit substantive materials. Superior proficiency utilizing Microsoft Office Suite (Word, Excel, Power Point), voicemail, email and Outlook calendar. Accurate and efficient keyboard skills are necessary. Requires highly effective verbal, written, interpersonal and team-oriented skills. Problem solver with ability to tactfully and effectively work with all levels of employees and maintains confidentiality. Ability to perform several tasks simultaneously, to organize and prioritize work while meeting aggressive deadlines with accuracy and attention to detail.

Salary Range:

$67,700.00 - $115,100.00

The base salary range represents the anticipated low and high of the Syneos Health range for this position. Actual salary will vary based on various factors such as the candidate's qualifications, skills, competencies, and proficiency for the role.
