University Development's purpose is to support the mission of the university by raising private resources to enhance financial support for students, faculty, programs, and facilities. University Development provides leadership and centralized services to all development offices throughout the University, serving as a focal point for annual giving, application development and IT support; campaign management; constituent programs; corporate and foundation relations; donor relations; gift planning; gift services; industry relations; marketing/communications; parents giving; principal gifts; prospect management, research and analytics; regional programs; scholarships and student aid; talent management; university events; and volunteer engagement.

Position Summary |
Position Summary:
This position may be eligible for a hybrid work arrangement that may include a partially remote work location, consistent with System Office policy.
UNC Chapel Hill employees are generally required to reside within a reasonable commuting distance of their assigned duty station in Chapel Hill, NC.
The executive assistant provides comprehensive, high-level administrative support to the Assistant Vice Chancellor and Chief of Staff (
AVC) for University Development. This position plays a critical role in managing the AVC's calendar, communications, travel, and special projects, ensuring efficient daily operations and representing the
AVC with professionalism and discretion. The role also supports teams that report directly to the
AVC, coordinating logistics and managing financial and administrative processes.
Job Duties:
Calendar and Scheduling Management
* Manage and maintain the AVC's calendar, including scheduling complex and sensitive meetings.
* Serve as the primary point of contact for all calendar-related requests and inquiries.
* Exercise sound judgment and discretion to prioritize appointments and make critical scheduling decisions on behalf of the
AVC.
* Present calendar requests and scheduling conflicts to the
AVC and relay directives and responses.
* Communicate professionally with stakeholders and coordinate logistics for meetings and events.
Communication and Correspondence
* May be responsible for monitoring the AVC's email daily, identifying time-sensitive matters, and drafting or coordinating appropriate responses as needed.
* May attend meetings with the
AVC to take detailed notes and provide follow-up support.
* Respond to inquiries on behalf of the
AVC in a timely and professional manner.
* Draft, edit, and proofread correspondence, reports, proposals, and presentations to reflect the AVC's voice and communication style.
* Serve as a liaison with university leaders, donors, legislators, and other stakeholders, managing communications with discretion and diplomacy.
* Manage stewardship and donor-related correspondence and communications on behalf of the
AVC.
Travel and Event Logistics
* Coordinate all aspects of domestic and international travel for the
AVC and their direct reports, including flights, accommodations, ground transportation, and itineraries.
* Make adjustments to travel logistics as needed, especially when the
AVC is traveling.
* Prepare travel-related documents and ensure proper submission and compliance with university procedures.
* Process travel reimbursements and monthly expense reports in the Concur system; serve as a delegate for
AVC and AVC's direct reports.
* Assist in the approval and processing of team travel requests within Concur.
Administrative Support and Special Projects
* Prepare materials such as meeting agendas, presentations, reports, and spreadsheets.
* Conduct data gathering and prepare reports using
DAVIE and other university systems.
* Support University Development initiatives through the coordination of logistics, documentation, and communications.
* Maintain confidentiality in all dealings and represent the AVC's office with the highest level of professionalism. |
Minimum Education and Experience Requirements |
High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate's degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience ; or Bachelor's degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions. |
Required Qualifications, Competencies, and Experience |
* Strong organizational and time-management skills with exceptional attention to detail.
* Proven ability to manage multiple priorities in a fast-paced environment.
* Excellent written and verbal communication skills.
* Experience with calendar management, travel coordination, and expense reporting.
* Proficiency in Microsoft Office Suite and familiarity with Concur and
DAVIE systems preferred.
* Ability to work independently and as part of a team with a high degree of discretion and professionalism. |

Experience in higher education and administrative environment preferred. |
