Posting Summary |
Rutgers, The State University of New Jersey, is seeking a Unit Admin/Specialist - Seasonal for the Douglass Residential College. This position supports ongoing recruitment and enrollment efforts, including logistics prior to and during events, communicating information about Douglass and Rutgers to prospective students and families, responding to general inquiries via email and telephone, data collection/reporting, assisting student leaders, and general office tasks.
Among the key duties of this position are the following:
- Assists at recruitment and enrollment events. This includes handling logistics such as room reservation, food ordering, forms for facilities, forms if events are over 50 people, etc. Confirm with host unit(s).
- Assists as on-the-ground support with "day of" set-up, coordinating times and time sheets with student leadership groups, food services orders, etc.
- Provides pre- and follow-up outreach to registrants.
- Oversees 'anti-melt' programming including welcome correspondence with incoming students, set up virtual summer meetings, meet individually with students who request to un-enroll.
- Oversees student leaders at Rutgers Orientation days (June - August), liaison to students at summer meet & greets, manage all aspects of special group visits including meeting groups, programming, logistics (school, community groups, etc.), connect inquiries to appropriate unit, provide information sessions weekly, create all events (tours, program, open house, etc.) in sales force for tracking of registrants, enter events for the year into SmartSheets for Enrollment Services programs.
- Submits communications forms to Undergraduate Admissions, review Enrollment Services website for possible updates;
- Helps to manage Enrollment Services leadership groups by making sure training manuals are updated and distributed, time sheet are submitted, attendance at events is recorded, etc.
- Coordinates student leaders for interviews with potential new ambassadors, train, schedule meetings, review plans, and discuss with supervisor.
- Formats, sorts, and reports data. This includes surveys (Why I chose Douglass, Why I request to unenroll from Douglass, etc.) and incoming student demographic information.
- Answers incoming phone calls, monitor general mailbox and answer emails.
- Overall inventory control including advising when supplies need to be replenished, manage social media content with communications office during summer months to build excitement with incoming students.
- Other duties as assigned.

$20.00 - $22.00/hourly |

Qualifications
Minimum Education and Experience |
- Bachelor's degree in a related field, or an equivalent combination of education and/or experience.

- This position is from August 1- October 31, 2025. Then the position will break until March 15,2026 and go six consecutive months through September 15, 2026.
