Title: Project Coordinator - MMP

Location: Remote/Virtual - Occasional Travel Required to the Lansing or Detroit Based Office



Purpose: The Michigan Department of Health and Human Services (MDHHS) Bureau of HIV and STI Programs (BHSP) conducts routine surveillance for HIV infection within the state. The Centers for Disease Control and Prevention (CDC) provides funding to BHPS to perform data collection for the Medical Monitoring Project (MMP). The MMP Project Coordinator's primary duties are to coordinate the efforts of MMP, which collects behavioral and clinical data from randomly selected persons living with HIV statewide (and nationally), via a questionnaire and medical record review (or abstraction). Manage day-to-day operations, which include directing the work of the MMP Interviewer/Abstractors and working with the Principal Investigator (PI) and Centers for Disease Control and Prevention (CDC) staff to meet project objectives and goals. This position is supported by a federal grant from the Centers for Disease Control and Prevention, which is renewed yearly as funds are available, and projects are continued.



Duties and Responsibilities:
* Manage the project and lead the project team to conduct the data collection efficiently and effectively.
* Maintain the confidentiality of sampled people and protect the data collected as detained in our confidentiality policy.
* Create and provide training on various aspects of MMP as needed.
* Ensure that MMP staff have completed necessary training annually.
* Update and maintain standard operating procedures and local MMP protocols
* Conduct interviews and abstract medical records as needed.
* Perform Quality Assurance management of Interviews and Abstractions via evaluated interviews and medical record re-abstractions.
* Create and utilize QA reports displaying progress to data collectors and CDC Project Officer (PO)
* Complete data management activities such as maintaining databases of the data collected in the CDC provided applications and maintaining ancillary databases as needed for tracking project activities.
* Organize stakeholder suggestions for local questions.
* Manage MMP fax folder and USPS PO box as needed.
* Connecting with healthcare facilities to aid in recruitment efforts and receipt of medical records.
* Maintain database recording issuance of gift cards (token of appreciation - TOA) and provide to staff for distribution to participants.
* Create and/or edit MMP documents and folders.
* Complete annual progress reports for budget continuations.
* Delegate tasks to other MMP staff and follow up as needed.
* Establish and maintain connections with stakeholders and organization staff for input and distribution of MMP analysis and data products.
* Attend annual confidentiality training and participate in other training required by the department throughout the year.
* Maintain connections with staff from other MMP project areas; seek and provide technical assistance as needed.
* Participate in MMP conference calls, training, and team meetings.
* Attend national meetings and trainings for MMP at the Centers for Disease Control in Atlanta when funds are available.
* Keep professional knowledge and education current, by participating in continuing education opportunities.
* Attend approved conferences and read current literature pertinent to MMP.
* Participate with section, division, and bureau meetings.
* Always represent the best interests of MPHI and MDHHS.
* All other duties as assigned.

Qualifications/Requirements:

Education: Bachelor's Degree in Public Health, Nursing, Social Work, or health and human service-related field required.



Experience: Minimum one year experience transcribing physician orders, reviewing/abstracting medical records, administering standardized interviews or experience in HIV field or working with high-risk populations.



Important Skills and Characteristics:



  • Exceptional organizational, time management and project management skills.
  • Effective interaction with MMP staff and BHSP staff, and staff at healthcare facilities and community agencies.
  • Ability to use MS Excel, REDCap, Power BI, and web databases to monitor project progress.
  • Knowledge of HIV/AIDS.
  • Familiarity with medical terminology.
  • Experience conducting interviews and reviewing medical records.
  • Knowledge of MMP methodology.



Work Environment and Physical Requirements: This position will work remotely. Occasional travel to the office located at Cadillac Place/Detroit or Edgewood Tech Center/Lansing will be required. Selected candidates who have been approved to work remotely or work hybrid must complete that work within Michigan. Candidates should confirm work location and schedule at the time of interview. Remote work is subject to change at State of Michigan discretion.
