Employee is responsible for overseeing administrative and strategic planning functions for the College of Medicine Office of Faculty Affairs. The coordinator acts as a resource for faculty-related matters/inquiries and participates in the college-wide promotion and tenure process and implementation of college-level events/meetings.

Duties & Responsibilities:

  • Advises and provides executive support to administrator, a faculty affairs director, and two associate directors. Maintains an organized overview of significant College responsibilities and departmental responsibilities and deadlines related to Faculty Affairs.
  • Participates in the College-level salaried promotion and tenure process, including auditing of confidential materials, coordination of committee meetings, preparing and distributing official communications, and maintenance of records. Manager the review of non-salaried promotions, including auditing of confidential materials, distributions to College committee, preparing and distributing official communications, and maintenance of records.
  • Supports the Faculty Development Strategic Planning subcommittees including scheduling and organizing meetings, drafting summary reports and budget requests, and coordinating related events (e.g., training sessions).
  • Facilitates the faculty awards cycle, including solicitating nominations, working with the faculty awards committee, and announcing recipients. Collects information annually on external awards received by the faculty.
  • Manages planning and implementation of College-level events relating to Faculty Affairs (e.g., annual faculty meeting, new faculty orientation, faculty recognition ceremony).
  • Perform other related duties and participate in special projects as assigned.


Minimum Qualifications Required:

  1. Bachelor's degree.
  2. Minimum of 2 years experience in academic administration, preferably in faculty affairs or higher education HR, with concurrent experience in promotion and tenure processes. (Note: Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year of work experience.)


Preferred Qualifications:
  • Excellent customer service skills and attention to detail are required.
  • Ability to work effectively independently and within a team setting.
  • Strong writing, interpersonal and organizational skills.
  • Excellent computer skills (Microsoft Office suite and other technology platforms).
  • Ability to prioritize and complete multiple time-sensitive tasks.
  • Understanding of faculty policies and procedures preferred.
  • Knowledge of and expertise in University systems and procedures (P-Card, TEM, iBuy, etc) preferred.
  • Sensitivity to maintaining high level of confidentiality in a wide variety of settings.
  • Ability to assess and measure outcomes associated with programs and workshops.
  • Will need to be on site for coordination of special events and some meetings.
  • Requires sitting for extended periods of time, standing, visual acumen, manual dexterity, and fingering for working with computer keyboards.
