We have an opportunity at our corporate offices in Chicago for a Sr Mail Clerk on our Corporate Services team. This is a onsite position reporting into our Chicago, IL office, requiring 5 days a week in the office.

This position is under limited
supervision, coordinate mailroom tasks including sorting, processing, and
delivery ensuring seamless operations and client satisfaction.

RESPONSIBILITIES:

Mail Processing & Delivery

  • Process and deliver all incoming and outgoing mail promptly, safely, and according to operating procedures in accordance with business unit instructions and deadlines.
  • Perform all other mailroom functions (e.g., Post Office mail pick-up and drop-off, sorting, filing, processing and packaging mailings and registered letters), exercising confidentiality and discretion during the course of sorting, opening and examining contents of mail.
  • Calculate proper postage for outgoing mail per U.S. postal regulations and charges postage to client units by entering the proper charge back department codes into postage meter machines.

Equipment Maintenance, Mailroom Operations, & Reporting

  • Operate and perform routine maintenance, troubleshooting on all mailroom equipment (e.g., postage meter machine, string typing machine, envelope opener). Serve as the internal equipment liaison, escalating technical issues promptly for resolution.
  • Maintain quality controls to ensure work accuracy; maintain meticulous mail log records, inventory, track unit SOPs and KPIs to provide detailed end-of-month report.
  • Maintain QTrack digital log of special items received and delivered and calculate charges for departmental charge back services.
  • Ensure all mailroom supplies are ordered, available and maintained.
  • Uphold safety standards and adhere to protocols while handling equipment and materials, ensuring a secure work environment.

Customer Service & Training Support

  • Deliver exceptional customer service by addressing inquiries about the different mailing methods and forms to be used, identifying and routing unmarked mail and managing other requests.
  • Support manager by assisting with individual training, work assignment coordination as requested to meet specific deadlines.
  • Serve as backup for the Manager Mail Services.
  • Collaborate with team members to ensure smooth customer service and support various departmental mailing jobs.
  • Perform light maintenance and mailroom reception duties.

May include other responsibilities as assigned

REQUIREMENTS:

  1. High School diploma or equivalent education required.
  2. 3+ years of mailroom experience required.
  3. Demonstrated experience delegating tasks.
  4. Proficiency in basic computer skills, including MS Office Suite.
  5. Basic knowledge of electronics and copier equipment.
  6. Strong communication skills and ability to thrive in a fast-paced, customer-centric
    environment.
  7. Strong organizational clerical skills, with sharp attention to detail, promptness and reliability key.
  8. Ability to maintain confidentiality of information.
  9. Valid driver's license.
  10. Manual dexterity and ability to lift 70 pounds and push carts weighing 100 plus pounds.

This role is a non-exempt position and the hourly range for this position is $23.17 - $30.22. This is the lowest to highest rate we believe we would pay for this role at the time of this posting. An employee's pay within the salary range will be determined by a variety of factors including but not limited to business consideration, geographical location, as well as candidate qualifications, such as skills, education, and experience.
