Office Support Assistant 2 - DA


Hourly Pay Rate: $14.87 - $22.28

Job Summary: The Office Support Assistant will provide reception services for Victim Witness Services Division. Prepare and manage victim witness services correspondence, answer in person and phone inquiries, and process witness expense documents. Supervise victim witness waiting room, data entry and manage mail. This position requires staff member to work 100% of their assigned schedule in the office.



Essential Duties and Responsibilities:



  • Preparation of correspondence to include but not limited to Crime Victim Compensation, Misdemeanor Disposition letters, Domestic Violence warrant letters, and 5W letters and packets.
  • Provide receptionist duties at DA's and Victim Witness receptions stations: answer phones lines, respond to citizens and professionals in need of information or assistance
  • File management to include ordering and distribution of files stored at Coakley, preparation of files for Coakley retention, and file room maintenance
  • Data entry to include but not limited to returned subpoenas and correspondence pertaining to insurance letters, crime victim compensation, and appeals.
  • Check in and monitor victims and witnesses. Monitor waiting room for order and cleanliness and restock supplies and sundries.
  • Sort and distribute mail, conduct mail runs, collect packages. Manage and fast forward mail.
  • File documents electronically.



Minimum Requirements:



  • Possession of a High School Diploma or GED equivalent
  • Current resident of the State of Wisconsin
  • Basic knowledge of all related computer and software applications, such as word processing and spreadsheets
  • At least 6 months of clerical support with good communication skills and the ability to relate, communicate and interact with people.
  • Typing 40 WPM, 85% or greater accuracy
  • Proficient in Microsoft Word



Please Note: Office Support Assistants are required to work on-site 100% of their assigned workday due to the nature of the position to greet individuals coming into the office for in-person meetings.



Additional Knowledge, Skills, and Abilities: Knowledge of modern office methods, spelling, grammar, and punctuation. Using various office machines, customer service with contact skills over the telephone and in person. Basic data entry skills with a high rate of accuracy, written and oral communication skills, organizational skills and the ability to follow oral/written instructions. Maintain records, files, and store items according to file codes or classifications. Work effectively and harmoniously with others.
