Join Our Team as an Inventory and Logistics Specialist - Where Precision Powers Patient Care

At Children's Hospital of Philadelphia (CHOP), the Inventory and Logistics Specialist plays a key role in ensuring critical medical supplies are always available when patients need them most. You'll use data and business intelligence tools to forecast demand, manage inventory levels, and support the Point of Use inventory system-driving accuracy, efficiency, and cost containment across our supply chain. What you will do

Inventory Planning & Management
  • Responsible for the planning and requisitioning of centrally maintained inventory

  • Continually manages and evaluates stocking levels (high levels, reorder points, critical levels) for inventory areas and adjust to meet seasonal and census-driven demand

  • Identifies current and potential product shortages based upon manufacturer backorders, weather related delays, or raw material shortages, and identifies recovery plans

  • Replenishes the centrally managed portable medical gas and other centrally managed equipment and/or ordering supplies for the Special Procedures departments

  • Coordinates new product introductions with the Materials Distribution, Value Analysis, and Contracting teams

  • Assists in coordinating product recalls throughout the enterprise

  • Communicates product availability issues and status to all organizational stakeholders to include appropriate Supply Chain and clinical personnel

  • Communicates any known issues or challenges related to existing stocking levels and/or physical layout of inventory locations with appropriate Supply Chain staff

  • Works with internal customers to ensure that that their needs are being adequately met

  • Communicates and coordinates any product conversions, substitutes, and product discontinuations with the various departments

  • Works with leadership to coordinate annual physical inventories across the enterprise

  • Rotate through on-call inventory duties to ensure supply chain safety and support operational efficiency

Inventory Control & Accuracy
  • Conducts root cause analysis for inventory variances

  • Maintains and updates warehouse item records

  • Designs inventory storage layouts for Supply Chain managed inventory locations, equipment storage rooms, and portable gas storage rooms

  • Maintains enterprise-wide procurement template that contains a list of all active storeroom items for use by requesters

  • Works with Purchasing to return inventory and par items to vendors when necessary

  • Follows CHOP procedures for new item and vendor adds to include preparing item and vendor add/change requests

  • Works with Receiving, Purchasing and Accounts Payable, as needed, to research inventory receipt discrepancies

  • Implements inventory control improvements, as approved by the Manager

Cycle Count Program Management
  • Manages the cycle count program

  • Adjusts cycle count processes as required to optimize efficiency and effectiveness

  • Assigns A/B/C classifications to inventory items and determines count frequency of A/B/C items

  • Configures the ERP to support cycle count requirements

  • Works with the Distribution Operations Manager to ensure cycle counts are performed in a timely manner by qualified staff

  • Researches and documents the root cause of cycle count discrepancies

  • Identifies possible solutions for the root causes of cycle count discrepancies and works with key Supply Chain leaders to decide which solutions to implement

  • Reports cycle count results and root cause analysis findings and recommendations to the Distribution Operations Manager, Director of Logistics and any other staff or management as necessary

Financial Oversight & Cost Management
  • Responsible for reconciling inventory spend against budget

  • Serves as inventory billing and cost containment expert responsible for the design and execution of all portions of inventory processes that support accurate cost allocation, cost reduction and cost avoidance. This includes operational documentation as well as documentation in support of data management processes such as item master, item pricing, item CDM and vendor master files

  • Ensures supply expenses are allocated to the appropriate cost centers

  • Analyzes and reports on supply utilization and other performance metrics

  • Benchmarking supply costs internally and externally to CHOP and establish CHOP cost containment goals for assigned areas

  • Supports CHOP cost containment initiatives

Collaboration, Training & Communication
  • Collaboratively works with the Distribution Operations Manager on process, resource and system issues that impact inventory accuracy and service levels

  • Educates and mentors Supply Chain staff as directed

  • Attends meetings with internal customers

Other
  • Other duties as assigned

Education Qualifications

  • High School Diploma / GED Required
  • Bachelor's Degree Supply Chain Management or similar field of study Preferred

Experience Qualifications

  • At least two (2) years experience in inventory management Required
  • Experience working in healthcare Preferred

Salary ranges are shown for full-time jobs. If you're working part-time, your pay will be adjusted accordingly.
