Job Summary:

As an integral member of a four-person Accreditation & Compliance (A&C) team in the Office of Graduate Medical Education (GME) within the CU School of Medicine, this position supports GME Office program directors/managers with tracking, monitoring, and reporting of compliance with Accreditation Council for Graduate Medical Education (ACGME) and GME requirements for approximately 119 ACGME-accredited programs and 113 non-ACGME GME programs. The Academic Services Professional helps design systems for monitoring compliance, communicates directly with directors (physicians) and coordinators of GME programs, serving as a resource to assist them in fulfilling regulatory requirements for maintenance of accreditation. This position is responsible for analyzing data and using data visualization skills to communicate trends and areas of importance to GME leadership and the greater GME community. Cross responsibilities and accountabilities occur among the A&C Team.

Key Responsibilities:

Accreditation - Program/Institutional Compliance (30%)

  • Develop and maintain instructional and informational materials, including presentations to support GME process and procedure (Annual Program Evaluations, program handbooks, etc.).
  • Develop communications to program coordinators and program directors regarding program outcomes and completion status of required materials.

  • Respond to and resolve questions from program directors and coordinators in a timely manner, providing quality customer service.

  • Extract supervision policies from program handbooks, track details specific to moderate sedation, and provide policies and details to affiliated hospitals/participating sites.

  • Assist the A&C team in monitoring program submission by key deadlines, ensuring timely follow-up and resolution through GMEC and ACGME processes.

  • Execute follow-up actions on items approved during monthly GMEC meetings, including drafting communications to programs on behalf of the DIO to confirm approvals, and maintaining and updating message templates as needed.

Data Systems Management & Compliance Tracking (25%)

  • Initiate and proactively manage tracking systems to monitor program compliance with ACGME and GME deadlines and document submission (e.g., ACGME surveys, milestones, Annual Program Evaluations, program handbooks, crisis response teams, and resident/faculty evaluation completion) for DIO and GME leadership presentations.

  • Administer GME Resident Work Hours Survey: Monthly survey preparation, facilitation, reporting, and analysis.

  • Collaborate with the OIT team and provide input into the development of a PowerBI dashboard and ensure data integration across A&C outputs

  • Update GME policies on GME website coinciding with any GMEC-approved policy changes.

  • Develop and implement process to record annual accreditation letters and create progress report templates for programs who received accreditation citations and AFIs.

  • Design and maintain email templates to notify programs of submission requirements, upcoming due dates, and overdue items, ensuring timely follow-up and compliance.

Data Analysis, Visualization & Strategic Reporting (30%)

  • Analyze data from compliance sources and independently produce reports and visualization documents for DIO and GME leadership presentation to stakeholders.

  • Annually develop performance dashboards for each accredited GME program to highlight key indicators and track progress on action plans

  • Compile program dashboard data into department-level dashboards to be shared with Department Chairs, and an institution-level dashboard to be used for analysis by DIO.

  • Collaborate with the OIT team and provide input into the development of a PowerBI dashboard and ensure data integration across A&C outputs

  • Run reports from MedHub and Formstack to address various data needs.

Committee Administrative Oversight (10%)

  • Serve as back-up or secondary support to the GME Business Services Professional for the following GME Committee (GMEC) and GMEC subcommittee responsibilities:

o Track attendance and maintain member records for GMEC monthly meetings and GMEC Subcommittee monthly meetings; Take notes and prepare meeting minutes for GMEC Subcommittee meetings.

o Manage Outlook calendar invitations for GMEC and GMEC subcommittee meetings, making monthly updates to recipient lists based on membership and role changes.

Onboarding, Orientation & Training (5%)

  • Provide training and orientation for new program coordinators on A & C practices, maintain up-to-date training materials, and deliver presentations on Annual Program Evaluations during coordinator meetings.

  • Provide administrative and event-planning support for semi-annual program director orientation, GME Essentials, and annual GME Leadership retreat.

Work Location:

Hybrid - this role is eligible for a hybrid schedule of 3 days per week on campus and as needed for in-person meetings.

Minimum Qualifications:

Intermediate:

* Bachelor's degree in education, psychology, business, public administration, health care, educational technology, social science, liberal arts, communications, accounting, finance, or a related field from an accredited institution

* One (1) or more years of professional level experience in higher education or medical education

Senior:

* Bachelor's degree in education, psychology, business, public administration, health care, educational technology, social science, liberal arts, communications, accounting, finance, or a related field from an accredited institution

* Two (2) or more years of professional level experience in higher education or medical education

A combination of education and related technical/military/paraprofessional experience may be substituted for a bachelor's degree on a year for year basis.

Preferred Qualifications:

  • Master's degree in education, psychology, business, public administration, health care, educational technology, social science, liberal arts, communications, accounting, finance, or a related field from an accredited institution

  • Experience in Graduate Medical Education.

  • Experience with electronic records management in a higher education setting, specifically with MedHub residency management software

Knowledge, Skills and Abilities:

  • Knowledge and experience with ACGME accreditation and interpretation of related policies and procedures.

  • Ability to learn software systems. Familiarity with Sitefinity and Smartsheets a plus.

  • Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint), demonstrated advanced proficiency with sophisticated spreadsheet manipulation and data processing

  • Ability to communicate effectively, both in writing and orally, with all levels of management and program leadership.

  • Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.

  • Outstanding customer service skills.

  • Excellent organizational skills including ability to prioritize multiple projects.

Anticipated Pay Range:

The starting salary range (or hiring range) for this position has been established as:

  • Intermediate Professional: $48,989 - $62,314

  • Senior Professional: $52,961 - $67,367

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
