We are looking to hire an Operations and Project Specialist to support our Technical Project Management team.

Responsibilities include:

Communications & Meeting Management

  • Plan, coordinate, and execute meetings and events that align with organizational objectives.
  • Collaborate with stakeholders to define meeting objectives and prepare supporting materials for both internal discussions and executive reviews.
  • Ensure end-to-end meeting management, including documenting minutes, capturing key action items, and distributing post-meeting summaries.
  • Support internal and external communications by drafting newsletters and announcements, and maintaining effective communication channels for team members.

Strategic Operations

  • Support strategic operations for the security teams, including annual STAMP planning and budget planning activities.
  • Assist in setting and tracking KPIs to ensure alignment with business objectives and annual targets.
  • Maintain and update monthly security metrics reports for governance steering meetings and other executive reviews.

Budget Tracking

  • Partner with security team leaders to develop annual and quarterly budgets that align with organizational priorities.
  • Maintain accurate expenditure records to ensure spending remains within approved limits.
  • Monitor actual versus forecasted spending, identify risks of overspending or underspending, and prepare regular budget reports and variance analyses to support finance and accounting requests.
  • Provide guidance to team members on budget policies and spending procedures to ensure compliance with company financial guidelines.
Basic Qualifications
  • Bachelor's degree and 2+ years of working experience in operations and project management
  • Proficiency in both English and Chinese (written and spoken)
Preferred Qualifications
  • Experience driving strategic projects to completion
  • Experience managing project and program budgets
  • Strong experience managing communications for events, including meeting and event planning
  • Experience with annual inventory audits and cost tracking a plus
This position will be based in our North America Headquarters in Raleigh, NC. Our office has transitioned to a hybrid work environment supporting 3 days onsite and 2 days remote. Candidates that are already local to Raleigh, NC are preferred.
