Overview

HR Administrative Assistant (Coordinator)

Location: Lewisville, TX (Corporate Office)

Reports To: HR Manager

FLSA Status: Non-Exempt

What You Will Do

As the HR Administrative Assistant, you will support the Human Resources team by handling a variety of administrative tasks that help HR operations run smoothly. You will be the go-to for employee recognition counters (birthdays and anniversaries), assist with onboarding and orientation, coordinates meals and logistics for trainings and meetings, and supports reporting and data management in the HRIS. You will ensure seamless communication and organization across HR functions while providing excellent internal customer service.

A Typical Day at Prime Controls

Employee Engagement & Recognition

    Maintain and distribute monthly birthday and anniversary recognition counters.
  • Assist with orientation set-up and ensure new hires have a smooth onboarding experience.

Training & Meeting Support

  • Coordinate boardroom and lunch requests for internal meetings, leadership training, or employee events.
  • Arrange meals and accommodations for employees traveling to the Lewisville office or other locations for training.
  • Support scheduling and logistics for employee training sessions and orientations.

HRIS & Reporting

  • Run recurring and ad-hoc reports in the HRIS for metrics such as headcount, turnover, and compliance.
  • Maintain accurate employee records, including digital filing and updates in the HRIS.
  • Assist with auditing HR files and systems to ensure compliance with company policy and legal requirements.

Administrative Support

  • Assist with preparing onboarding materials, and supporting background check and drug testing processes.
  • Coordinate employee communications such as policy updates, reminders, and event announcements.
  • Serve as the first point of contact for general HR questions and direct employees to appropriate resources.
  • Provide support with HR projects, including performance review cycles, recognition programs, and training initiatives.

What You Will Bring

The Basic

  • 1-3 years of administrative experience, preferably in HR or office administration.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and HRIS systems (Paylocity/ADP preferred).
  • Excellent written and verbal communication skills.
  • High level of professionalism and ability to maintain confidentiality.

The Preferred

  • Associates or Bachelor's degree in Communication, Business, or HR-Related Field
