About Us: A division within the Department of Emergency Medicine, the Center for Disaster Medicine (CDM) (https://www.massgeneral.org/disaster-medicine) houses numerous grant-funded programs that focus on Disaster Medicine, Healthcare Preparedness and Emergency Management, and High Consequence Infectious Diseases (HCID). The CDM team is comprised of interdisciplinary subject matter experts, including national and international experts in their fields, leading the development of preparedness programs and resources to meet current and future healthcare challenges. About You: You are an experienced project or program coordinator with a strong interest in emergency preparedness and/or HCIDs. You possess strong organizational skills, some project management skills, and a desire to be part of a high-functioning and fast-paced team that is a national leader in healthcare preparedness. You have strong communication and interpersonal skills. You're a quick study and willing to join a team growing through change.
About the Work: Under the direction of the Senior Program Manager, the Program Coordinator will support all external-facing Regional activities. This includes the development of training calendars, logistics for training activities, Regional coordination meetings, Regional newsletter, curating Regional contact directories, managing the administrative aspects of Regional technical service requests, and others. The Program Coordinator will be a central contact point for accessing the Regional Emerging Special Pathogens Treatment Center (RESPTC) team for support needs. This position is grant-funded and is contingent on continued availability of these funds.

Job Description

Principal Duties and Responsibilities

Program Coordination Responsibilities

  • Supports all Regional program meetings from preparation through follow-up.

  • Attends all relevant meetings; contributes ideas, and follows up on action items

  • Collaborates with other members of the program team to develop and maintain program and project plans.

  • Develops and maintains Regional training calendars.

  • Curates the Regional newsletter

  • Collaborates with other members of the program team to ensure the successful development and delivery of materials to support stakeholder engagement, including preparation of training materials.

  • Creates polished materials ready for professional presentation.

  • Escalates identified delays and/or challenges to RESPTC leadership.

  • Supports the administrative management of the Learning Management System (LMS) including:

  • Organizing content on the LMS

  • Tracking and reporting end user engagement with the LMS

  • Supports the development and maintenance of public-facing RESPTC and CDM content, including social media and website content.

  • Supports the development and delivery of webinars for CDM.

  • Provides administrative support, with increasing independence, for the planning of RESPTC training activities across New England.

  • Contributes to program reports, as assigned

  • Serves as a PPE trained observer as needed for RESPTC and Regional training sessions.

  • Assumes responsibility for all assigned projects simultaneously.

Response Operations

  • Supports external after-action follow-up and process improvement post-response for any activations of the RESPTC and/or Special Pathogens Program.

  • Supports the procurement and management of supplies and equipment to support special pathogen program training and response operations.

Logistics

  • Collaborates with RESPTC leadership to ensure that necessary supplies and technology are available to support activation, training and exercises.

  • Supports the maintenance of training supplies and associated gear, including activation gear, for the RESPTC.

  • Excellent written and oral communication skills

  • Familiarity with project management/task tracking software

  • Ability to work with a diverse group of stakeholders

  • Completion of ICS/NIMS 100, 200, 700 and 800 courses, before or upon hire.

  • Experience with Microsoft Office applications including Word, Powerpoint, Teams, and Excel

  • Ability and interest in learning new software applications, such as a Learning Management System or project management system.

Education

Bachelor's Degree: Required

Experience:
Required: 1-3 years of relevant experience

Working Conditions

  • This position will be hybrid in nature and the incumbent will work with their supervisor to establish a final schedule; however, candidates should anticipate being on campus 3 days per week.

  • May be required to travel to offsite facilities and to attend meetings outside of regularly scheduled hours, as needed.

  • May be required to report to the hospital or offsite locations outside of normal business hours to respond to events that require emergency support.

  • May be required to work extended shifts for multiple periods during emergency events.
