Position Summary: The Senior Accounts Payable Specialist is responsible for overseeing the day-to-day operations of the Accounts Payable (AP) function, ensuring timely and accurate processing of invoices, expense reports, and payments. This role supports month-end and year-end closing activities, reconciles vendor accounts, and serves as a key contact for internal departments and external vendors regarding AP inquiries. The senior specialist also assists in process improvement initiatives and mentors junior team members. Key Responsibilities:
- Process and review high-volume invoices, ensuring accuracy, appropriate approvals, and correct coding to general ledger accounts and cost centers.
- Manage weekly check runs, ACH and wire payments, and ensure timely vendor payments while maintaining proper documentation.
- Reconcile vendor statements, research and resolve discrepancies, and maintain strong vendor relationships.
- Review employee expense reimbursements in compliance with company policies and IRS guidelines.
- Assist in monthly and year-end close processes, including accruals and AP reconciliations.
- Prepare and maintain accurate aging reports, payment schedules, and AP metrics.
- Collaborate with procurement, Treasury, and other departments to ensure smooth payment workflows.
- Ensure compliance with internal controls, company policies, and accounting best practices.
- Support external and internal audit requests with accurate and timely documentation.
- Identify opportunities for process improvements and contribute to automation or efficiency initiatives.
- Train, mentor, and provide guidance to junior AP staff as needed.
Qualifications:
- Education: Bachelor's degree in Accounting, Finance, or a related field (or equivalent work experience).
- Experience: 4-6+ years of progressive accounts payable experience, with at least 2 years in a senior or lead capacity.
- Knowledge: Understanding of GAAP principles, 1099 reporting, and sales/use tax compliance.
- Experience with process automation tools (e.g., Coupa, Concur, Chrome River).
- Strong proficiency in ERP/accounting systems (e.g., SAP, Microsoft Dynamics).
- Advanced Excel skills (pivot tables, v-lookups, data analysis).
- Experience with electronic invoicing and workflow automation tools.
- Strong attention to detail and analytical mindset.
- Excellent communication and interpersonal skills.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
