TITLE:Executive Assistant

LOCATION: Hybrid in Lombard, IL

1-2 days/wk in Lombard on average

COMP RANGE: $85,000 - $100,000/year

Griffith Foods is hiring an Executive Assistant to support 4 executives - the Global Heads of Marketing, Purchasing, Business Development, and Sustainability - to ensure seamless day-to-day operations for the group. As an Executive Assistant, your responsibilities will include:

  • Providing High level administrative support to 4 global executives, including managing calendars, scheduling meetings, expense management, and coordinating arrangements; drafting and editing correspondence, presentations, and communications on behalf of the executives.

  • Arranging comprehensive domestic & international travel logistics for executives, including flights, accommodations, ground transport, and detailed travel itineraries

  • Act as the primary point of contact between executives and internal/external stakeholders, building and maintaining strong relationships with all stakeholders.

  • Manage and organize sensitive information, documents, and data with a high degree of confidentiality.

  • Serve as one of the primary points of contact for facility-related inquiries and office service requests.

  • Manage inventory of office supplies and equipment; proactively order replenishments as needed.

  • Assist in the development and execution of strategic initiatives by participating in strategic meetings, conducting research, preparing reports, and providing insights and follow up action items to support decision making.

  • Assist in the planning and execution of key projects, ensuring that deadlines are met and goals are achieved.

The Executive Assistant position is well-suited for you if you:

  • Excel in ambiguity and can anticipate needs & challenges before they arise and proactively problem-solve and work towards solutions.

  • Exhibit exceptional attention to detail and commitment to accuracy.

  • Demonstrates strong communication, time management, and organizational skills

  • Have the desire and ability to go beyond traditional administrative tasks and act as a strategic partner to our executive team.

  • Represent executives in a professional manner and foster positive relationships on their behalf.

  • Are able to work well as a part of 5-person Executive Assistant team of peers supporting global executives.

Qualified candidates will have:

  • At least 5 years of experience as an Executive Assistant supporting global executives or in a similar level support role.

  • Global travel arrangement & meeting scheduling experience

  • Strong technology proficiency with calendar management systems, travel platforms, and administrative tools, as well as proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)

  • High degree of professionalism, discretion, and confidentiality.

  • Ability to work onsite in Lombard, IL a minimum of 1-2 days per week, and additional days as business needs periodically require.

  • Unrestricted US work authorization without the need for visa sponsorship, either now or in the future.

  • Associate's or Bachelor's degree in Business Administration, Management, or a related field.
