Program Coordinator - JLL

What this job involves:

Program coordinators needstrong organizational and communication skillsfor managing multiple projects, tasks, and people simultaneously, along with proficiency in technical tools like Microsoft Office and project management software.Key skills also include problem-solving, time management, budgeting, stakeholder engagement, leadership, and adaptability to effectively meet program goals and navigate challenges.

What your day-to-day will look like:

  • Event and activity management responsibilities include planning and executing immersive activities while fostering a positive, collaborative work environment that promotes team engagement and productivity across all program initiatives and stakeholder interactions.
  • Administrative and operational oversight encompasses managing vendor compliance documentation including Master Service Agreements and certificates of insurance, supporting comprehensive onboarding processes for new suppliers, and overseeing daily administrative, operational, and logistical activities with consistent external vendor communication.
  • Reporting and documentation duties involve preparing daily and weekly reports while contributing to comprehensive program reporting for clients, JLL leadership, and other stakeholders as required, with experience using Sitefotos application being desirable but not mandatory for success.
  • Vendor management activities require managing service contracts including COIs, Aravo and Corrigo systems, preparing detailed vendor documentation, and demonstrating high-level skills in scheduling and coordinating services and meetings with multiple stakeholders and service providers.
  • Program coordination and planning functions encompass coordinating collaboration between clients, facilities personnel, and internal account teams while supporting cross-functional project meetings with comprehensive meeting notes and deliverables, tracking agenda items, escalating risk issues, and developing process documentation and playbooks.
  • Essential communication and interpersonal competencies include excellent verbal and written communication skills for clear stakeholder interaction, strong organizational abilities for managing multiple tasks and deadlines, efficient time management and prioritization skills, effective problem-solving and conflict mediation capabilities, and strong relationship-building skills with diverse groups.
  • Professional attributes must include adaptability and flexibility to adjust to changing priorities and unforeseen circumstances, meticulous attention to detail for ensuring accuracy and quality in program deliverables, with success measured by effective organization and delivery of day-to-day tasks that support overall program objectives and client satisfaction.

Required Qualifications:

  • Candidates should possess two to four years of demonstrated experience in project coordination, facility coordination, or similar roles that involved managing multiple concurrent projects and tasks while maintaining excellent organizational standards and time management capabilities.
  • Technical competencies must include proven experience working with large data sets and advanced proficiency in Microsoft Office products, with particular emphasis on Excel for data analysis, reporting, and project tracking functions essential to successful program coordination.
  • Strong customer service skills are required along with demonstrated experience coordinating various activities and events, showcasing the ability to manage stakeholder expectations and deliver exceptional service experiences across diverse client interactions and program requirements.
  • Communication excellence encompasses both verbal and written skills necessary for effective stakeholder engagement, with the ability to convey complex information clearly and concisely to internal teams, external vendors, and clients at all organizational levels.
  • Task management capabilities must include the ability to prioritize multiple responsibilities and complete assignments in a timely manner while maintaining quality standards, even when working under pressure or with competing deadlines and changing priorities.
  • Process improvement understanding requires a firm grasp of procedures and methodologies that increase operational efficiency, with the ability to identify opportunities for enhancement and implement solutions that streamline workflows and improve program delivery.
  • Personal attributes should reflect an exceptional team player mentality with the capability to work effectively with minimal supervision in fast-paced environments, demonstrating independence, reliability, and adaptability while contributing positively to overall team dynamics and program success.

Estimated compensation for this position:

72,000.00 - 94,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
