This non-exempt position will require in person work at the Detroit main hospital campus, with flexibility to occasionally work from home if departmental needs allow.

GENERAL SUMMARY:
Reporting to the Executive Director of Medical Education, the Medical Education Consultant is responsible for facilitating educational project work by providing direction, leadership, and day-to-day management of the graduate medical education program and initiatives. Provides training and processes for the Residency Program Coordinator I and II. Coordinates department projects, formulates needed enhancements for processes, and works with internal and external customers to successfully meet established goals and deadlines. Consultants must demonstrate initiative, resourcefulness, and problem-solving skills in working independently to complete projects and assignments.

PRINCIPLE DUTIES AND RESPONSIBILITIES:

  • Works in concert with leadership to determine the appropriate focus and direction of department initiatives and projects.
  • Assigns tasks related to project work to other administrative staff as appropriate.
  • Develops and implements solutions to improve current processes and procedures related to project work.
  • Responsible for leading and serving on cross-functional teams across the organization representing the department.
  • Performs project management/coordination activities to ensure all process workflows are being handled within the established time parameters by both internal departments and outside stakeholders.
  • Creates and manages budgets related to department projects and initiatives and monitor spending.
  • Designs reports and distributes to appropriate parties.
  • Safeguards and protects confidential information.
  • Manages the successful hiring and onboarding of trainees, including fulfillment of all regulatory requirements (e.g., Visas, fingerprinting and background checks, medical school certification of graduation, I-9 verifications, health screening clearance).
  • Oversees all aspects of onboarding and is responsible for all data and required information in the student/residency management system; audits information routinely to ensure accurate and up to date information.
  • Serves as primary point of contact to various other Henry Ford Health departments (e.g., Henry Ford Health University, EHR, EPIC, employee health) to ensure successful onboarding and trainee support.
  • Organizes and schedules hospital orientation of incoming program and rotating medical students, interns, and residents to complement program orientation.
  • Understands the Accreditation Council for Graduate Medical Education (ACGME) or and other accredited boards training program requirements, fosters awareness and compliance with accreditation requirements.
  • Maintains effective communication with the medical students, residents, fellows, and physicians, appropriate to the situation (e.g., formal letters, email, group paging, etc.); advises regarding requirements and deadlines; obtains appropriate documentation signatures.
  • Plans and coordinates events, trainee orientations, courses, seminars, programs, and presentations; monitors attendance and budget; contacts and schedules guest speakers; coordinates presentations, prepares and distributes agenda and materials; arranges for parking permits, identification badges, audiovisuals. Prepares reports and maintains documentation.
  • Development of recruitment strategies and materials. Responds to internal and external requests for information.

EDUCATION/EXPERIENCE REQUIRED:

  • Bachelor's degree in healthcare, education, business, or related field.
  • Two (2) years of experience in an educational or medical office/administrative/project management environment.
  • Strong organizational, problem-solving, and decision-making skills.
  • Ability to prioritize work, work independently, and meet deadlines.
  • Excellent written and verbal communication and interpersonal skills.
  • Strong data collection and entry ability with attention to detail; requires high level of accuracy.
  • Demonstrates knowledge and skills in Microsoft Office applications (i.e., Access, Excel, PowerPoint, and Word) and data management applications.
