Pay:

Visterra Landscape Group offers competitive pay commensurate with experience in a similar position. The range for this position is $65,000 to $75,000 annually, but actual compensation will vary depending upon new hire experience and qualifications as well as internal equity.

Role Overview:

The HR Onboarding Specialist ensures a smooth, compliant, and engaging onboarding experience for all new hires across corporate and field locations. This role manages the end-to-end onboarding process-from pre-hire documentation to Day One coordination-while partnering with HR, payroll, and operations to ensure new employees are set up for success

Key Responsibilities:

Onboarding Coordination:

  • Manage onboarding for corporate and field employees.
  • Communicate with new hires pre-start to set expectations and answer questions.
  • Partner with field managers to coordinate orientation schedules.

Documentation & Compliance:

  • Prepare and process employment agreements, I-9s, and E-Verify submissions.
  • Ensure compliance with federal/state regulations and company policies.
  • Maintain accurate digital and physical employee records.

Systems & Data Management:

  • Manage onboarding workflows in ADP Workforce Now.
  • Collaborate with payroll for accurate pay setup and direct deposit processing.
  • Monitor completion of required training and acknowledgments.

Process Improvement & Support:

  • Continuously evaluate onboarding processes for efficiency and candidate experience; automate tasks and create workflows to improve consistency, reduce manual effort, and enhance scalability.
  • Support HR initiatives such as offboarding and data audits.

Requirements:

  • Bachelor's degree in Human Resources, Business Administration, or related field required.
  • 2-3 years of experience in HR, onboarding or employee , preferably in both corporate and field environments. Multi-site experience is a plus.
  • Familiarity with HR processes including onboarding and compliance (e.g., I-9). Hands on experience with E-Verify is required
  • Experience in ADP Workforce Now is required.
  • Strong communication, organizational, and relationship-building skills.
  • Ability to work independently and collaboratively in a fast-paced, growth-oriented environment.
  • Ability to manage multiple onboarding processes simultaneously across different locations.
  • Willingness to travel up to 25% and be on-site when not traveling.
