Position Highlights |
The Study Abroad Program Coordinator is an integral part of the University of Arizona Study Abroad team. This position oversees the key administrative and operational functions, working collaboratively within the Study Abroad Operations Team. This role coordinates study abroad operational and administrative functions across all study abroad programs and initiatives, including managing academic records, course scheduling and enrollment, student registration into various systems within the unit (which may include student health insurance, scholarships, and other areas as assigned), coordination of other relevant procedures integral to study abroad policies and processes, and daily monitoring and auditing of study abroad applications. This position will also manage a portfolio of highly administrative program types, so there may be some periodic student advising support required. Duties & Responsibilities |
Duties and Responsibilities Systems and Operations - Oversees the review and administration of assigned study abroad application forms on a daily basis. - Performs weekly reports and reviews of study abroad application processes to monitor for completeness and eligibility. - Processes Non-Degree Seeking applications in conjunction with the Office of Admissions as they pertain to study abroad programs. - Pulls and prepares reports from Via TRM, UAccess (Peoplesoft) and UAccess Analytics. Study Abroad Course Scheduling and Enrollment - Coordinates Study Abroad course scheduling of assigned portfolio of programs. - Coordinates Study Abroad enrollment into program-specific U of A courses or placeholder units for assigned portfolio. - Completes enrollment and grade/transcript reconciliations and audits to ensure complete and accurate processing of academic credit for study abroad. - Coordinates student registration into various UA Study Abroad systems, which may include GeoBlue health insurance, Via TRM and UAccess. Program Administration - Acts as the primary contact for departmentally managed study abroad programs and oversees all administrative and support functions related to this program type. - Coordinates student registration into various UA Study Abroad systems, which may include GeoBlue health insurance, Via TRM and UAccess for assigned program portfolio. - Provide periodic student advising support. - Provide assistance to faculty, staff, and students in interpreting both University of Arizona and UA Study Abroad policies. Knowledge, Skills, and Abilities - Knowledge of academic recordkeeping and class scheduling systems. - Ability to interpret and apply university academic policies and procedures. - Strong written and verbal communication skills; ability to work collaboratively across departments. - Excellent time management, organization, and multitasking abilities. - Proficiency in Microsoft Office Suite, Adobe Acrobat, and Google Workspace tools. - Excellent organization, communication, and presentation skills. - Ability to effectively communicate and collaborate with people from a variety of cultural backgrounds. - Excellent organization, communication, and presentation skills. Minimum Qualifications |
- Bachelor's degree.
- Three years of professional administrative experience working in higher education or comparable setting.

Preferred Qualifications |
- Master's degree.
- 1 year of experience working in the field of study abroad.
- Experience using Via TRM.
- Experience using a Customer Relationship Manager (Salesforce, Less Annoying CRM, etc.) and/or project management tool (Basecamp, Teamwork, etc.).
- Experience using Excel for basic reporting.
- Experience working with Drupal-based websites.
- Experience working with individuals from different cultural backgrounds.
- Multilingual.
- Experience living, working, or studying abroad.
