Acara Solutions is seeking an Operations & Finance Administrator for our client in Buffalo, NY!
In this role, you will support day-to-day financial, administrative, and human resources functions to help ensure smooth business operations and financial accuracy. This role is ideal for a highly organized multitasker with a background in bookkeeping or administration and a passion for driving process improvements.
We are seeking qualified candidates with:
- A strong foundation in finance, accounting, or administrative operations
- Experience managing multiple priorities in a fast-paced office environment
- A detail-oriented mindset with excellent communication and organizational skills
Here's what you'll do:
Accounts Payable & Payment Processing
- Accurately enter supplier invoices into the accounting system with proper documentation.
- Prepare and schedule approved vendor payments (ACH, check, etc.).
- Maintain organized transaction records for audit readiness.
- Address vendor payment inquiries and resolve outstanding issues.
Purchasing & Inventory Management
- Maintain inventory of product and office supplies at headquarters.
- Ensure accurate ERP data entry for inventory not tracked via Shopify.
- Resolve purchase order, invoice, and receipt discrepancies with vendors and warehouse staff.
- Support purchasing and inventory tracking for internal and promotional needs.
Month-End Close & Financial Reporting
- Ensure timely entry of purchasing and invoicing data to meet monthly deadlines.
- Reconcile bank accounts, credit cards, PayPal, and Stripe accounts.
- Assist VP of Finance in ensuring accurate financial reports and internal controls.
Human Resources Administration
- Enter hourly employee time and PTO into the Paychex system.
- Record payroll journal entries in QuickBooks.
- Manage new hire data entry, job postings, and candidate screening.
- Schedule interviews and coordinate onboarding and offboarding processes.
- Maintain accurate employee records and support benefit administration.
- Help ensure compliance with labor laws and internal policies.
Position Type: Direct Placement
Pay Rate: $27+/hr. **Depending on experience

Schedule: M-F Onsite, Business Hours

Required Skills / Qualifications:
- Associate's Degree in Accounting, Finance, Business Administration, or equivalent experience.
- Minimum 2 years of experience in bookkeeping or administrative roles.
- Minimum 2 years of experience using QuickBooks and Microsoft Office Suite (Excel, Word, Outlook).
Preferred Skills / Qualifications:
- Strong attention to detail and accuracy.
- Excellent organizational and time management skills.
- Ability to manage multiple deadlines and prioritize tasks.
- Comfortable with technology, including payment terminals and websites.
- Strong written and verbal communication skills.
