Position Title: Document Control & Training Specialist

Work Location: Mettawa, IL 60045

Assignment Duration: 2 Months

Work Arrangement: Hybrid (Remote: Monday & Friday; Onsite: Tuesday, Wednesday & Thursday)

Position Summary: Responsible for capturing and documenting essential Purchase Order (PO) process steps and standard operating procedures to ensure compliance and efficiency. Collaborate closely with cross-functional teams and stakeholders to gather process requirements, interview team members, and validate procedures.

Background & Context: Short-term role supporting a specific project related to Purchase Order (PO) process documentation for the International Market Access & Pricing team, a global organization.

Key Responsibilities:

* Create, update, and maintain comprehensive written process documentation for PO procedures.

* Conduct stakeholder interviews, research, and requirements gathering to ensure documentation is accurate and actionable.

* Develop training materials (presentations, guides, reference sheets) tailored to diverse audiences.

* Facilitate group training sessions and collect feedback for ongoing improvement.

* Recommend, implement, and optimize use of workflow efficiency tools (e.g., Smartsheet, Excel, Asana).

* Communicate status updates, training progress, and improvement recommendations to management.

* Investigate and propose solutions for process inefficiencies and address documentation discrepancies.

* Provide guidance and answer technical/non-technical questions about PO process and associated tools.

Qualifications & Experience:

* Bachelor's degree in business, Operations, Communications, or related field (preferred).

* 3-5 years relevant experience in process documentation, operations, training, or continuous improvement roles

* Experience in project/program management, or team training (a plus).

* Proficient in Microsoft Office Suite; preferred hands-on experience with Smartsheet, Asana, or similar workflow tools.

* Demonstrated process mapping and SOP writing ability.

* Excellent written and verbal communication skills; able to interact effectively across functions.

* Experience facilitating training sessions and developing instructional materials.

* Strong stakeholder engagement and interviewing skills.

* Analytical mindset: able to solve problems, propose, and implement improvement strategies.

* Detail-oriented and able to operate with minimal supervision.

* Strong process documentation and SOP writing skills

* Experience mapping workflows and documenting step-by-step processes

* Ability to interview stakeholders and gather requirements

* Training creation and facilitation experience (virtual sessions)

* Familiarity with workflow and project management tools: Smartsheet, Excel, Asana, or similar tools

* Tech-savvy mindset; ability to connect systems and documentation

* Strong communication skills (written and verbal)

* Ability to work independently while collaborating closely with the team

* Detail-oriented, analytical, and comfortable challenging existing processes constructively
