Cape Fox Eagle Health, LLC is accepting resume for a Lead Medical Records Management Specialist for the NIH Occupational Medical Service located in Bethesda, MD.

The total hourly pay for this non-exempt position is $37.59for up to 40 hours per week. This is comprised of a base hourly rate of $32.66plus $4.93per hour Health & Welfare (H&W) for up to 40 hours per week as required by the Service Contract Labor Standards (SCLS) regulations. Thisrate represents the company's good faith and reasonable estimate of possible compensation at the time of posting. This job will be posted until filled or withdrawn.

This candidate will provide our customers with the highest quality product and customer service and will be protecting and safeguarding the patient's right to privacy by ensuring that only authorized individuals have access to the patient's medical information.

Responsibilities:



  • Greet OMS visitors and direct to appropriate staff.
  • Review outside medical records for completeness to include physician signature and route record to appropriate sub-section of medical department; compile, verify and file medical records and compile statistics for use in reports and surveys; retrieve archived records.
  • Answer telephone and direct messages to appropriate staff.
  • Ensure all forms are readily available and in chart for exams.
  • Prepare both paper and electronic medical records for new and established patients.
  • Review content of patient medical records, assemble into standard order and file accordingly.
  • Schedule appointments using OMS computer system, review in-take paperwork prior to arrival to ensure electronic record is created and up to date; route walk-in and triage appointments to provider, pull medical records in advance of appointments and update administrative data for each OMS employee prior to their appointment.
  • Print and compile records upon request of patients and/or others if release of information is signed.
  • Participate in annual projection of scheduling needs to include review of periodic statistical data such as visit types and length of visit required for planning purposes.
  • Assist in annual archival of medical records and physical management of filing system. Participate in monthly quality assurance projects to ensure medical records system is accurate and pull charts as needed for special audits, peer reviews, etc.
  • Maintain the upkeep of copy and fax machine and reception area.
  • Receive, distribute, and deposit mail daily.
  • Provide administrative support for off-site laboratory visits for the Lab Technician.
  • Maintain confidentiality and protect health information according to federal regulations.
  • Mentor medical records staff.
  • Lead medical records team with general questions and assist as necessary.
  • Familiar with OSHA standards.
  • Verify and approve timesheets for the Medical Records staff.
  • Other duties as assigned.
  • It is imperative that all releases of information are in compliance with the request, authorization, company policy and federal regulations.
