Job Summary

Under the direct supervision of the Human Resources Manager the human resource assistant is responsible for the administrative support of day-to-day human resource operations.

Expectations, Duties and Responsibilities

  • Answer incoming calls and provide frontline support for the Human Resources department.
  • Perform HRIS data entry and maintain accurate and up to date personnel files.
  • Assist employees and supervisors with basic interpretation and clarification of HR policies and procedures.
  • Support new employee onboarding, including preparation for and facilitation of HR s portion of orientation.
  • Prepare and distribute offer letters to applicants as directed by the Recruitment Team.
  • Track and follow up on pre employment requirements to ensure timely completion and successful clearance (eg. drug screening, HPE results).
  • Issues pre employment drug screen authorization forms to all new hires in accordance with company procedures.
  • Serve as the primary point of contact for all new hires throughout the onboarding process.
  • Review background checks and motor vehicle reports for all new employees.
  • Monitor Paylocity onboarding packets to ensure all required tasks are completed prior to orientation.
  • Complete I 9 employment eligibility verifications within Paylocity.
  • Prepare, compile, and distribute the weekly orientation attendee list to ensure all relevant departments are informed in advance.
  • Submit new field employees to Complicore for approval and follow up on any missing documentation or certifications required for approval.
  • Maintain confidential personnel records and ensure proper documentation of personnel actions.
  • Assist the HR Manager with departmental projects and initiatives as assigned.
  • Enter new hire data into systems including ePro, Paylocity, Street Eagle, emsCharts, and WAWA.
  • Issue ePro and emsCharts usernames and passwords for new employees.
  • Record and track employee certifications in ePro, and update certification information in ePro and Complicore for compliance purposes.
  • Conducts exit interviews with employees upon receipt of their resignation.
  • Perform other related duties as assigned to support the HR team and organizational needs.

Position Type and Expected Hours of Work

This is a full time, hybrid position, Standard work hours are Monday through Friday, from 8:00 am to 4:30 pm

Travel

Local travel to various worksites maybe required

Education and Experience

  • High school diploma required; Associates degree strongly preferred
  • Previous HR experience strongly desired.
  • Experience with Paylocity system and MS office highly desired.
  • Previous experience working in a Human Resources role.
  • SHRM Certified Professional (SHRM CP) credential preferred, but not required.
