Job Title: Project Manager - Agency Finance & Operations Location: Mettawa, IL 60045 (Hybrid) Duration: 12 Months - Possible Extension Position Overview We are seeking a Project Manager to support the Agency Finance & Operations team in a fast-paced, collaborative environment. This role will focus on coordinating operational activities, managing project timelines, supporting onboarding processes, and ensuring smooth day-to-day execution across a small cross-functional team. The ideal candidate will have 1-2 years of relevant experience, strong Excel skills, and the ability to manage multiple priorities while maintaining attention to detail. Qualifications & Requirements: 1-2 years of relevant experience required. Candidates with slightly more experience (2+ years) will also be considered. Experience in a fast-paced environment is required; prior agency experience is not mandatory. Strong Excel skills are required, including the ability to create and manage pivot tables. Comfortable working with technology and handling technical coordination tasks. Experience in operations or technology-related environments preferred. Ability to provide concrete examples of managing or tracking projects, events, or similar initiatives. No strict educational requirements; candidates must demonstrate relevant practical experience and skills. Experience with Cantata would be plus. Key Responsibilities: Project & Operations Management Project manage the ordering and delivery of Macs. Coordinate closely with the operations and finance team to ensure smooth day-to-day activities. Work alongside a small team of operations engineers and a finance professional to align tasks and priorities. Take ownership of assigned projects by coordinating timelines, tracking deliverables, and ensuring progress remains on schedule. Assign and route technical issues to the appropriate operations point of contact. Support general operational responsibilities, including maintaining and updating Excel files, records, and documentation. Onboarding & Process Coordination: Create and manage new hire checklists for the Operations team. Track onboarding activities, including monitoring start dates and assigned tasks. Maintain calendars of key dates and next steps to ensure all required onboarding actions are completed on time. Finance & Operational Support: Manage FinOps-related projects such as trainings, open houses, and gathering information for organizational charts. Assist in organizing, planning, and executing operational and project-related initiatives to help the team meet business objectives efficiently. Monitor budget considerations at a high level, without direct financial tracking or record management responsibilities. Key Success Criteria Demonstrated ability to track and manage projects or events with clear examples. Comfort working with technology and coordinating technical tasks. Ability to operate effectively in a fast-paced, small team environment.
