Overview
The Staff Assistant III will provide primary administrative and front office support for the department of Instructional Technology and Learning Sciences-especially for students, faculty, and community members and serve as the primary administrative support for the ITLS department head. Position responsibilities include department and college document preparation especially as it intersects with areas outside of advising, including travel, ordering supplies, and the detail work of preparing the class schedule. The position will include a variety of administrative support responsibilities including extensive interaction with faculty, students, and other staff.

Responsibilities
Administrative Support:
  • Serves as the first point of contact for ITLS office, assisting students, faculty, staff, and visitors with a wide range of complex, varied, and often unique questions or issues.
  • Support department ordering, supply, and inventory needs completing as much as possible on their own p-card including submitting p-card receipts
  • Receipt attachments for all credit cards in the department
  • Take lead in arranging and supporting travel for visitors including searches, graduate students, and faculty for those who want it
  • Department meetings - Minutes and ordering food
  • Maintain list of paid editors for format/style review of theses and dissertations
  • Scheduling appointments for the Department Head, conference rooms, class spaces, and ombudspersons.
  • Run reports on course enrollments each semester for business manager
  • Provide general office support to students and faculty to allow the department to function smoothly and efficiently
  • Support faculty in use of technology
  • Act as primary liaison with facilities, with the college, and with other offices (such as ADO) that intersection with the duties as described above or as assigned.
  • Take lead in annual space survey
  • Take lead in department computer inventory
  • Take lead in department key inventory and provide key access management
  • Secondary assistance with departmental reports and databases
  • Sending outgoing and distributing incoming mail
  • Coordinates events with the ITSA student organization or acts as the lead event planner for department events throughout the year.
  • Perform support for faculty research or high-profile external service (e.g. editorial assistant duties) as available and if cleared by department head.
  • Performs miscellaneous job-related duties as assigned

Course & Academic Support:
  • Support, enact, and be detailed set of eyes on course scheduling
  • Implement class schedule in appropriate University system
  • Show and update course information on department pages
  • Assist faculty/staff in administering and compiling course evaluations
  • Be the primary contact for course material requests


Qualifications
Minimum Qualifications
  • Four years of experience; or an associate degree/technical training plus two years of experience; or a bachelor's degree is required.

Knowledge, Skills, and Abilities
  • Good organizational skills.
  • Skilled with computers and related software.
  • Skilled with basic office equipment, including printers, copiers, and telephone systems.
  • Strong verbal and written communication skills.
  • Ability to handle sensitive and confidential business data and personal information.
  • Ability to work without supervision.
  • Knowledge of University policies and procedures.
  • Excellent customer service skills.

The Instructional Technology & Learning Sciences department is composed of fifteen faculty with specializations in several areas including gaming, STEM education, assessment, the maker movement, mobile technologies, simulation, cognitive science, computer science education, digital libraries, learning analytics, and computational thinking. The department offers Ph.D. and Master's degrees along with endorsements in School Library Media Administration and Adult Learning. The department also offers an undergraduate degree in Human Experience Design and Interaction, with emphases in game studies, esports, and multimedia development, as well as an undergraduate Multimedia Development Minor. The department was recently ranked 3rd in the nation among all online graduate education programs and ranked 1st in our field by US News and World Reports. Faculty have received national awards for teaching, research, and service, and serve in a variety of leadership positions in professional and scholarly organizations. The ITLS department has a strong track record of procuring research funding from the Department of Education, the National Science Foundation, and other funding organizations.

The Emma Eccles Jones College of Education and Human Services is committed to inclusive excellence in research, teaching, and service activities across a wide array of education and human service fields.
