Below, you'll find other important information about this position. Coordinates and develops general office and administrative systems for Surgical Services (OR, PACU, SDC, PAT, SPD). Provides administrative support to the Directors and Managers by gathering and expediting information flow from department systems to appropriate internal and external customers/users. Coordinates and facilitates financial responsibilities to assure budget compliance and financial stability of the Surgical Services department. Assists the Director and Managers with assessing the department needs for future growth and process improvement.

MINIMUM QUALIFICATIONS:

1. Oversees the day-to-day operation of the departmental billing process implementing changes for efficient operation.

2. Directs billing to assure that services provided are billed for accuracy and expedited on a timely basis incorporating billing into various other department reporting systems.

3. Develops system and databases to track day-to-day financial operations including departmental billing and revenue processes. Works collaboratively with Director or Department Managers to implement changes as appropriate for efficient operation.

4. Investigates, reports to Director or Department Managers, and then resolves any variance or issues involving questionable billing/charges/revenue.

5. Evaluates financial processes to maximize efficiency including but not limited to monitoring daily reports. Works with Financial Services related to editing, assigning of modifiers and/or actions necessary for all outpatient services through EPIC to maintain department compliance with outpatient billing.

6. Collaborates with Financial Services related to annual review and/or revision of Surgical Services Charge Masters.

7. Develops implements and maintains department budgets for documentation of account expenditures by account lines and cost centers accurately and in a timely manner in accordance with accounting practices observed by Directors or Department Managers.

8. Monitors budget variance throughout calendar year. Interacts with management identifying abnormal activity reporting causes and recommendations to the Directors or Department Managers.

9. Reviews invoices for correctness and submits to Accounts Payable for payment; when incorrect, contacts vendor to resolve issue.

10. Prepares intradepartmental billing for medical supplies requested by various departments during emergencies.

11. Collaborates with department management in the preparation of revenue per cost center and variance reports.

12. Collaborates with department management in the annual preparation of the operating budget- material and labor.

13. Submits to Director percentage of labor measured against department cases each month for reporting to Vice President.

14. Coordinates departmental medical supplies inventory via Lawson in accordance with defined budget. Submits to Directors or Departmental Managers monthly and annual report detailing costs beyond fixed or variable percentages adjusted for statistic. Submits appropriate action plan for correcting expense overrun by end of year close out.

15. Coordinates departmental office supplies and equipment inventory in accordance with defined budget. Submits to Director or Departmental Managers monthly and annual report detailing variances for costs beyond fixed or variable percentages adjusted for statistic. Submits appropriate action plan for correcting expense overrun by end of year close out.

16. Facilitates Capital and Minor Equipment purchasing processes as well as arrange repairs of the equipment in the Surgical Services either by an internal or external source.

17. Develops and submits to Department Managers bi-weekly Attendance Report that include STD/FMLA use as well astardiesand call-offs.

18. Performs payroll activities using Kronos Workforce Central and Kronos Scheduler. Resolves related payroll errors in a timely manner.

19. Creates Kronos schedules in identified 4-week timelines.

20. Assists employees with applying for FMLA. Corresponds with UNUM Provident regarding individual FMLA/STD claims questions/inquiries.

21. Maintains updated database in Net learning for all departmental employees.

22. Schedules meetings by using Outlook for the Director and the Managers of Surgical Services.

23. Coordinates and facilitates all travel advances and reimbursement to staff and management for conferences throughout the year.

24. Completes advance payment requests to Accounts Payable as soon as possible to ensure confirmation of reservations.

25. Assists with preparation for accreditations/designation site visits or data submission to maintain Joint Commission and other regulatory agencies.

26. Maintains and revises equipment inventory for Surgical Services.

27. Tracks all equipment inventory for Surgical Services that has beensurplused, traded, disposal, or designated for storage, as well as adding new capital equipment as observed by Director or Department Manager.
