Job Description
Schedule: Monday - Friday 9:00am - 6:00pm The Facilities Team Lead is a member of the Williams Lea team delivering exceptional customer service at our client. Responsibilities include facilities, hospitality and receptionist and other general office duties as needed. The Facilities Team Lead provides key office procedures oversight, ensuring that client projects and requests are completed in a timely manner and that the quality of the service is consistent. Must be able to lead the Williams Lea team in the adherence of operational best practices and site/client specific policies, including the ability to conduct periodic operational audits. - * Prioritize jobs and delegate duties to team members
- *Complete various jobs as specified for projects and office activities
- *Work directly with clients to understand their project needs and confirm that the request tickets are completed appropriately
- *Schedule staff to insure appropriate levels to manage client requests
- Provides oversight and coordination of office projects and events
- *Organizes workflow according to established priority structures, production capacity, manpower availability and committed deadlines
- Provides a focus for large, time-sensitive or politically sensitive projects, ensuring a cohesive and coordinated response
- *Communicates with the supervisor/manager on issues affecting capacity, response time, supply inventory, room availability and technical issues arising during assigned shift or that may arise in the upcoming shift
- *Assists supervisor/manager in administrative and shift turnover procedures
- *Strategically plans for upcoming projects or events in the pipeline, making management aware of supply inventory and resource requirements
- *Builds effective working relationship with the client services team, insuring that lines of communication remain open and flexible at all times
- Fosters a proactive environment of continuous service enhancement and relationship building with the client
- *Sets example to maintain employee motivation and morale to achieve the highest quality results
- *Audits employee skill utilization and operational best practices and informs supervisor/manager when skills improvements or enhancements are required
- Creates a sound communications environment with employees to assure their understanding of assigned projects, avoid confusion and prevent poor customer service experience
- *Excellent understanding of all office procedures and projects and translate these into practical and achievable work completion objectives and client commitments
Qualifications
- High School diploma or equivalent
- Minimum of 5 years' experience working in legal, banking or large corporate environment in facilities, property management, building operations, catering, hospitality or reception
- Minimum of 1 year experience successfully directing and leading team
- Advanced knowledge of facilities, hospitality and/or reception, with the ability to recommend options to clients
- Advanced knowledge of multiple phone line systems
- Advanced knowledge of power tools, hand tools and/or machinery
- Advanced knowledge of audio/visual equipment
- Exceptional customer service skills
- Proven ability to create, maintain and enhance customer relationships
- Excellent problem solving skills necessary, with an ability and understanding of when to escalate a problem to a supervisory level
- Strong interpersonal communication skills required.
- Maintain a professional demeanor and appearance at all times
- Must be able to communicate and interact effectively with multi-functional and diverse backgrounds
- Excellent organizational skills required
- Proven ability to meet deadlines in an environment with changing priorities
- Ability to handle sensitive and/or confidential materials a must

- Must be able to successfully navigate through Microsoft Office applications, Outlook, Adobe PDF files

- Intermediate knowledge of web-based job submission tools (e.g., Symphony)
- Basic math skills required

Additional Information
The salary range for this role at the noted RRD location is $27.00 - $30.00 / hour. Starting pay decisions are determined based on multiple factors including but not limited to relevant education, qualifications, skills, experience, certifications, proficiency, performance, shift, location, and other business needs. Typically, roles follow step progressions to a target rate or set increments over time. Depending on the role, in addition to the hourly rate of pay, the total compensation package may also include overtime, shift differential, call-in, and/or stand-by pay.
