We are seeking a skilled Patient Visit Specialist to support seamless visit closure, coordinate next steps in patient care, and ensure an exceptional patient experience. This role includes advanced scheduling for specialty and radiologic services, processing referral and authorization work queues, monitoring inbaskets and reports, and maintaining accurate, efficient schedules across the department. Responsibilities: As a Patient Visit Specialist, you will play an essential role in coordinating patient care, supporting clinicians, and ensuring a smooth and positive experience for every patient at the end of their visit. This position requires strong attention to detail, excellent communication skills, and the ability to manage multiple scheduling and authorization processes with accuracy and efficiency. You will serve as a key resource for patients, clinicians, and the care team while maintaining high standards of service, compliance, and workflow organization. Key Responsibilities
- Review and act on clinician orders entered in the EHR to ensure accurate and timely followthrough.
- Schedule return visits, laboratory appointments, radiology procedures, STAT/ASAP appointments, and advanced imaging.
- Obtain prior authorizations and referrals in accordance with payor protocols and requirements.
- Verify and support patient access to MyChart.
- Print and review After Visit Summaries (AVS) while ensuring HIPAA privacy compliance.
- Collect backend patient balances, including highdeductible amounts, when applicable.
- Communicate promptly with ordering clinicians when access limitations or restrictions impact scheduling.
- Complete appointment reminder calls and manage rescheduling needs.
- Educate patients on the Release of Information process and ensure fully completed ROI forms are submitted to Health Information Management.
- Maintain a clean, organized, and professional checkout area, waiting area, and surrounding walkways.
- Provide excellent patient relations and support throughout the checkout process.
- Perform additional duties as assigned to support smooth clinic operations.
Qualifications:
- High school or equivalent
- Experience in the medical office, hospital, or clinic with patients and providers is preferred
- Proficiency in prior authorization/certification/referral process is preferred
- Must pass EPIC competency for Registration at completion of Epic Clerical Training class
