Job Title - Administrative/Executive Assistant 3 Estimated Start Date 4 May 2026 Building Location - Dallas TX 75039 On-Site Full Time Additional Comments (if applicable): Daily Schedule - 7:00/8:00 - 3:30/4:00 (can be flexible with start / end times) Estimated Duration 6 months Pay Range - $18-20/hr Interview Process Rounds: 1 Virtual/Phone In Person Panel Only Manager Job Description Summary: The main function of an administrative assistant/executive assistant is to provide high-level administrative support by conducting research, handling information requests and performing clerical functions. A typical administrative assistant acts as information and communication managers for an office. Job Responsibilities:
- Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.
- Prepare travel plans, expense reports, memos, letters, and other documents.
- File and retrieve corporate documents, records, and reports.
- Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
- Prepare invitations / agendas / arrangements for leaders, team members and other misc meetings.
Skills: - Verbal and written communication skills, multi-tasking, customer service skills and interpersonal skills.
>Strong skills with MS Office Suite, specifically Outlook, Excel, WORD, and PowerPoint - Ability to work independently and manage one's time.
- Ability to keep information organized and confidential.
- Basic mentoring skills necessary to provide support and constructive performance feedback.
Education/Experience: - High school diploma or GED required.
- 5-7 years experience required.
- Experience working with executives highly preferred.
Position's Contributions to Work Group: - Organize leader calendars and work flows - Maintain prioritization of time management and key assignments - Support team projects and continuous improvement activities - Orchestrate key individual and group travel plans Reason/motivation for request: - Addition to support growth in Diesel Power Demand and consolidation of commercial teams. - Cross-training to support broadening LEPS leadership team in Dallas. Typical task breakdown: - Supporting multiple leaders to manage travel, expenses and calendars Interaction with team: - Help support other administrative assistants as needing Team Structure - Supporting multiple leaders Work environment: - Office environment - Fast paced - Years of experience:5-7 years - Degree requirement: HS Degree required, College degree or equivalent experience a plus - Open to Masters but most likely over qualified - Open to 2 year degree with 3+ years experience Top 3 Skills Proficiency in MS applications Accuracy and Attention to Detail High Organization skills Effective Communication Additional Technical Skills (Required) - Proficiency in MS Office (outlook, excel, etc) - Experience with Concur, NextGen, Docusign a plus (Desired) - Soft Skills (Required) - Adaptability and flexibility - Effective communication - Problem solving - Managing multiple priorities - Collaboration (Desired)
