Position Summary The Assistant Registrar plays a key role in supporting the daily operations, service excellence, and academic processes of the Registrar's Office. Coordinates frontline services, manages routine administrative workflows, and partners with campus stakeholders to maintain accurate scheduling, registration, and communication practices. The Assistant Registrar is central to keeping the office running effectively day to day, contributing to a responsive, organized, and student-focused environment. The Assistant Registrar plays a vital role in ensuring smooth academic operations and a positive experience for the campus community. On-Campus Schedule: Monday through Friday 8am to 4:30pm Key Responsibilities Registration, Academic Actions, and Transfer Credit
- Support registration setup each term, including system configuration, timelines, and communications.
- Assist with student registration processes, including PIN distribution and troubleshooting registration issues.
- Manage registration for non-degree seeking and visiting students.
- Track academic dismissals, suspensions, and temporary withdrawals, ensuring accurate documentation and timely communication.
- Monitor and process incomplete grades in coordination with faculty and academic departments.
- Create and process transfer credit equivalencies in Banner and collaborate with Dean's Offices to ensure accuracy and consistency.
Front Office Operations & Student Services
- Support front-office transactions and staffing, ensuring timely and accurate service for verifications, transcripts, and general inquiries.
- Provide high-quality customer service through in-person, phone, and digital communication channels.
- Assist with the creation, maintenance, and documentation of standard operating procedures (SOPs).
Academic Scheduling and Classroom Reservations
- Coordinate academic room reservations in collaboration with academic departments and campus partners.
- Manage the final exam scheduling process, ensuring alignment with academic policies and room availability.
Operations and Student Services
- Coordinate front-line services, responding to students, faculty, and staff inquiries with professionalism and accuracy.
- Assist in developing and improving office processes to enhance efficiency and service delivery.
- Support academic scheduling and ensure accurate course information is maintained.
Collaboration and Communication
- Partner with academic departments and campus stakeholders to support registration, records, and academic processes.
- Contribute to clear and timely communication regarding registration timelines, academic policies, and student status updates.
- Participate in cross-functional initiatives to improve the student experience and operational effectiveness.
Qualifications & Requirements
- Bachelor's degree required.
- Minimum of 3 years of experience in higher education; Registrar's Office experience preferred.
- Demonstrated experience with student information systems and class scheduling software, preferably Ellucian Banner, CourseLeaf Section Scheduler, and 25Live.
- Knowledge of the processes and procedures associated with functions of a Registrar's Office.
- Knowledge of FERPA and other federal regulations.
- Proficiency in Microsoft Office applications, including Word, Excel, Teams, and Outlook.
- Must have a level of professionalism and strong critical thinking skills.
