This is a/an 91.7% full-time equivalency (FTE) job with months off. The number of months off will be determined by the position's FTE percentage. The timing of months off will be set to meet the needs of the unit and the essential duties of the position. Questions related to HR105 FTE positions should be directed to the hiring manager during the interview process. This position is eligible for benefits associated with any full-time position. The salary grade and range listed in the posting is reflective of a 100% Full-time position. Full-time equivalency job offers may fall outside of the listed range due to the assigned percentage of effort.

POSITION SPECIFICS

The Residence Life Office is looking for a dynamic and energetic individual to join its team.

The Administrative Support Assistant is a vital part of the team in helping to continue the vision and mission of the department. They are responsible for providing administrative support for theAssistant Directorand Coordinators of a residential area housing up to1,800 students. This position will support the general administrative functions in addition to serving as a resource to the Office of Residence Life and Division of Student Affairs' work unit, which includes up to4 professional staff and30paraprofessional staff members.

Responsibilities include, but are not limited to:

  • Plan, organize, and coordinate daily office activities and administrative processes

  • Create, organize, and maintain files, records, and databases

  • Greetvisitors and provide information; review, respond to, and appropriately direct inquiries

  • Maintain calendars, schedule meetings, and coordinate appointments.

  • Provide support for scheduling travel arrangements

  • Coordinate meeting logistics, including scheduling, agenda development, and preparation of materials

  • Collect and organize data, including budgetary and operational information

  • Track expenditures and assist with budget preparation and projections

  • Initiate financial transactions, reimbursements, and budget revisions in accordance with policies

  • Maintain inventory and order office supplies

  • Serve as a point of contact for vendors and event stakeholders

  • Respond to inquiries and issues while ensuring compliance with unit and university policies and procedures

  • Handle sensitive and confidential information with discretion

  • May supervisestudentstaff members, including hiring, training, development, and performance management

Knowledge, Skills, and Abilities:

  • The candidate selected should be proficient in Microsoft Word, Excel, Access, PowerPoint, Publisher, and the use of e-mail.

  • The ability to maintain confidentiality, coordinate several projects simultaneously, prioritize tasks, and provide excellent customer service is essential.

  • The candidate should be capable of self-management, possess excellent written and verbal communication skills, judgment and problem-solving, the ability to work effectively with people of diverse cultural backgrounds, the ability to work in a team environment, and the ability to work effectively with students.

MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS

General Equivalency Diploma (GED) or High School (HS) 2+ years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: None

SALARY & BENEFITS

The salary range for this position, including all possible grades, is $40,608.00 - $58,836.00.
