Responsibilities
The Recruitment Coordinator is responsible for managing the interview scheduling and pre-employment process to ensure a smooth and efficient applicant and hiring experience. The role involves coordinating with applicants, recruiters, and hiring managers, as well as handling various administrative tasks related to recruitment. The role will help support recruitment initiatives throughout the entire recruitment and employment process within the Norton Healthcare system, ensuring compliance with Norton Healthcare's standards and in accordance with all state and federal regulations.
Interview Scheduling & Coordination: Coordinate and schedule applicant phone, virtual, and in-person interviews for recruiters and hiring managers through the applicant tracking system (ATS). Communicate interview details to applicants, including date, time, location, and any necessary preparation. Prepare and distribute interview itineraries or materials to applicants, hiring leaders, and recruiters for applicable or panel-related interviews. Manage and update interview scheduling in the applicant tracking system (ATS). Ensure timely follow-up and communication with applicants, hiring leaders, and recruiters regarding interview questions or status. Organize travel arrangements for applicants, such as airfare, hotel accommodation, car, meeting rooms, and itineraries. Pre-Employment Processes: Facilitate thorough and accurate pre-employment requirements as outlined by all licensing and accrediting agencies, including background checks, education, licensure, OIG/sanctions, Employee Health, drug screen, and reference checks. Coordinate the collection of required documentation from candidates, such as necessary consents, identification verifications, and certifications. Possess knowledge of all pre-employment requirements and ability to interpret verification reports to ensure appropriate review process by talent acquisition leadership. Record and store pre-hire files in appropriate locations, following record retention best practices. Assist applicants with completing pre-employment questions and any appropriate pre-board forms. Ensure new hires are added to correct orientation lists and are hired timely. Administrative Support: Provide applicants and hiring managers with a positive and professional experience. Address applicant inquiries and provide timely updates on their application status. Assist with phone and/or HR front-desk reception support to assist applicants, employees, and visitors. Serve as the primary point of first contact for applicants throughout the interview and pre-employment process. Provide support for various projects and initiatives as needed, such as preparation for recruitment events, training sessions, meeting room scheduling, and special projects. Compliance & Standardization: Ensures compliance with the Office of Federal Contract Compliance Programs (OFCCP). Affirmative Action and Equal Employment Opportunity (EEO) regulations. Demonstrates knowledge of other Healthcare regulatory organizations, such as Accreditation bodies (DNV), Office of Inspector General (OIG), and licensing boards. Adhere to Norton Healthcare's standards and policies in accordance with all state and federal regulations. Ability to keep sensitive and protected information confidential in accordance with Norton Healthcare best practices.
