Aquent is partnering with a major medical client to source a Patient Scheduler to support their Pre-Anesthesia Clinic. In this critical role, you will coordinate patient appointments utilizing established scheduling workflows and criteria. Responsible for reviewing scheduling reports within the Electronic Health Record (Epic), you will contact patients directly to arrange appropriate pre-anesthesia appointments (in-person or virtual) based on clinical guidelines.

The ideal candidate works collaboratively with a team of fellow schedulers, patient care coordinators, and clinical staff to ensure timely access to care for patients preparing for surgery.

Day-to-Day Tasks



  • Review scheduling reports and work queues in Epic to identify patients requiring pre-anesthesia appointments.
  • Contact patients via phone to schedule appointments in a timely, professional, and patient-centered manner.
  • Determine the appropriate appointment type (in-person vs. virtual) using established clinical and scheduling criteria.
  • Accurately document scheduling activities, request medical records, and update details directly within Epic.
  • Collaborate with schedulers, patient care coordinators, and clinical teams to optimize clinic workflows.
  • Maintain exceptional standards of customer service and professional phone etiquette.
  • Follow clinic workflows, standard work protocols, and escalation pathways as needed.
  • Ensure full compliance with healthcare policies and C-I-CARE principles.


Qualifications


Education

  • High school diploma or equivalent required.


Experience

  • Previous experience in healthcare scheduling, medical call centers, or clinical administrative support preferred.
  • Experience working with Electronic Health Records (Epic highly preferred).
  • Prior experience in a fast-paced clinical setting with high-volume scheduling strongly preferred.
  • Demonstrated background in a patient-facing or customer service-centric role.


Knowledge, Skills, and Abilities


Technical Skills

  • EHR Experience: Practical knowledge of Electronic Health Record systems (Epic preferred).
  • Core Systems: Proficiency with basic computer systems, including Microsoft Outlook, Word, and Teams.
  • System Navigation: Ability to navigate scheduling reports, work queues, and documentation systems efficiently.
  • Acuity: Ability to learn internal scheduling workflows, clinic software, and clinical criteria quickly.

  • Strong verbal communication skills and professional phone etiquette.
  • Ability to follow detailed, structured scheduling criteria and standard medical workflows.
  • High level of organization, attention to detail, and accuracy in documentation.
  • Excellent time management skills with the ability to meet productivity expectations in a fast-paced environment.
  • Reliability, professionalism, and a collaborative mindset for onsite teamwork.


Preferred Qualifications (Nice to Haves)

  • Familiarity with pre-anesthesia or surgical clinic workflows.
  • Experience in high-volume healthcare call center environments.
  • Bilingual communication skills (e.g., Spanish) are a plus.


The target hiring compensation range for this role is $35.81 to $38.96 an hour. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location.
